Job Title: Administrative Assistant
Work Hours: Monday to Friday, 830 am to 530pm
Location: Jin Mao Tower, Pudong, Shanghai
Responsibilities:
? Responsible for answering and forwarding incoming telephone calls
? Filling schedule arrangement
? Government authorities’ receipts arrangement
? Work with finance team to audit the filing disbursement reimbursement process filling clerk or courier team
? Update company internal system
? Received express courier distribution
? Internal communication and coordination
? Register and greet visitors including issuing visitors cards based on security system requirement (this person will be seated at the reception area)
? Process incoming and outgoing mails, including express courier.
? Work with HR to Prepare and update the internal phone number list on time
? Coordinate administrative and project-related activities (symposiums, meetings, guest visits, etc.)
? Other duties as assigned
Requirements:
? Bachelor’s degree is preferred
? At least 1 year of relevant work experience in multinational corporation and/or hospitality industry
? High sense of responsibility
? Good team work and customer service attitude
? Detail oriented
? Able to communicate in English with internal or external visitors
? Take initiative to identify priorities and seek guidance when necessary
? Contributes to positive work environment.
? Ability to demonstrate analytical and problem-solving skills within a fast-paced environment.
? Demonstrate attention to detail, accuracy and the ability to complete multiple tasks in a fast-paced environment.
? Experience with Lotus Notes, MS Word, Excel and PowerPoint desired.
