Responsibilities:
? organising and maintaining diaries and making appointments; keep calendar for executives and prepare daily schedule
? dealing with incoming (e)mail, drafting communications or corresponding on behalf of the executives
? organising and attending meetings and ensuring the manager is well prepared for meetings
? prepare meeting, notify parties involved, make meeting minutes and distribute action points
? take notes or dictation at meetings or to provide general assistance during presentations
? carrying out research and presenting findings and presentations; research, digest, analyse and present material clearly and concisely
? arranging (multi destination) travel, ground logistic and accommodation
? coordinate with relevant colleagues at group level and within the group companies
? planning and organising events
? prepare files for approval and signature
? keep a proper and clean files, filing documents of all sorts; managing and reviewing filing and office systems
? translation and copy files
? arrange itinerary and meeting and greeting visitors at all levels of seniority, keep good relations, book meeting rooms, AV equipment and organize catering.
? liaising with clients and partners, suppliers and staff competently
? prepare reimbursement and expense claims for executives expenditures and proper cost allocation to group companies
? arrange personal affairs for executives including bank issues, insurances, visa extensions etc
? keep track of various bank accounts related to real estate or other private assets of the board
? other issues of and requirements from executives
