To deliver high quality, prompt and efficient Facility Management services in support of Client's business needs in a safe working environment.
1.Help Desk Service/Security Service
Manage telephone queries and calls etc.,
Perform security & CCTV system management;
To manage and assist the vendor to maintain/repair the security access and CCTV systems;
To present regular access/log reports to client;
To assign visitor/contractor badges and perform related recording/filing work/updating of related information on a monthly basis.
To collect and present related data/information;
To conduct regular checks on the CCTV system.
2.Facility Management
Responsible for monitoring the Scholl facilities & critical space environment;
Responsible for reporting and scheduling contractors for preventative maintenance;
Responsible for managing emergency situations and crisis while concurrently making arrangements for immediate repairs;
To carry out established escalation and incident reporting procedures;
Vendor Management
Assist and support to manage Cleaning Vendor, Landscaping Vendor and Security Vendor;
Conduct regular performance meetings to understand clients' needs;
Responsible for regular evaluation of the vendors’ service performance.
Customer Service/Client Relationships
Manage all soft service delivery including and not limited to purchasing of toilet consumables, office consumables(if need). To report and submit purchase requests for client’s approval, make purchases only from approved suppliers and ensure delivery are on time and with accurate quantity.
Keep good communication with client and their stakeholders;
Coordinate and support JLL supply chain and sourcing platform in related purchasing services;
Ensured Key Operations Procedures are followed to ensure service standards are maintained.
Payment/billing management
Assist FM to verify monthly statements, allocation of expenses and prepare reports to client;
To assist client, FM to perform accruals;
To assist in updating of keys on a monthly basis.
Assist the FM team to identify ways to constantly reduce costs and improve operational standards
To assist client/FM to perform reporting work, including monthly reports and KPI reviews etc.
Supervise the Help Desk, Cleaners and security guards;
Act as the “Back-up” for the Help Desk whenever necessary (during lunch time and annual/sick leave)
Assist client/FM to perform restacking/relocation of staff;
Any other duties as reasonably assigned by the client/FM.
Requirements:
University Degree in any discipline;
Over 2 years’ experience in managing facilities preferred;
Knowledgeable on the cleanliness criteria, frequency of cleaning, and job assignment for the cleaners.
Strong interpersonal skills;
Good command of spoken and written English and Chinese languages.
