职位描述

Job Title: Office Executive
Based at: Gaoming, Foshan
Responsible to: HR Manager
Purpose of Role: Administer the full spectrum of daily Admin operation for the China office to ensure all Admin functions are properly executed.

Responsibilities - general
1. Oversee the daily operation of office administration and facility management
2. Assist to set up administrative SOPs and streamline the process
3. Take actions to ensure the maintenance of GM office security, environment & cleaning
4. Manage the dormitories, canteen and shuttle bus
5. Support expatriates on apartment and car sourcing and rent negotiation
6. Manage the car rental & car arrangement and check the reasonableness of petrol and toll fee
7. Negotiate and review all administrative contracts
8. Review all administrative payments
9. Work with factory building management for office facility issues
10. Monitor the level of office stock and manage the FA
11. Maintain efficient communication with line managers, internal employees, vendors and government bureaus
12. Organize company activities and support all the logistics issues
13. Other business support requested by HR manager

Responsibilities – specific to
1. Maintenance & record of office Stationary
2. Cleanliness of office equipment’s & premises, House keeping
3. Dealing with travel agents for ticketing (Domestic & international)
4. Sourcing and negotiating with the vendors to get the best possible quotations
5. Management & Renewal of contracts, Bills verification, Bills certification, Follow-up of Bills
6. Coordinate with Accounts department for various payments to vendors
7. Purchasing stationary and other materials for office
8. Security, A/C, Fire Fighting and Electrical maintenance
9. Regular physical verification of office assets
10. Dealing with Hotel/Resort Accommodation whenever there is a visit
11. Ensuring that the workplace is safe and secure environment. Conducting safety inspection and maintaining safety records
12. Responsible for the VISA processing of the employees/expats
13. Responsible for cost reduction on monthly expenses
14. Submitting various monthly / weekly admin reports to HR Manager

Competencies/Skills required
Must
1. Outgoing, proactive, mature, Detail conscious, customer oriented and committed
2. Able to work both independently and in teams and under pressure with tight schedule
3. Good interpersonal and communication skills
4. Must be able to multi-task effectively in a busy work environment with a hands-on working approach
5. Able to work independently
6. Good MS Office skills (Word, Excel & PowerPoint)
7. Good command of both spoken and written English and Chinese
Prefer
1. CET6 or TEM8
2. Cantonese

Education/Experience
1. Colleague or above in Administration, English, Trading or other relevant discipline;
2. At least 3 years’ experience in office administration
Prefer
1. Working experience in manufacturing MNC will be a plus
