Key Accountabilities
Depend on skillset and shift roster scheduled for you:
- Responsible for backorders, liaising communication between planners and customer orders. Ensure we are able to chase for earlier lead time to deliver our promise date to customers
- Backorders includes discontinued products, Complete Ship orders, Forward orders, and long lead time orders.
- The management of backorders are heavily dependent on use of Excel spreadsheet for tracking and tracing lead time and progress. Prioritisation are required for certain markets
- Follow up with global planners for lead time, chase for short lead time. Planners will work with supplier to deliver shorter lead time
- Support pull in activities to reduce lead time. This is especially so for month end purpose. For items that unable to push for shorter lead time, Liaison team may work with local sourcing team for alternatives
- Keep Sales or Front office well informed on their back orders, alternative solution can be prompted to avoid missed of promise date.
- To accept escalation from the team and provide advice, or suggestion, for most appropriate action.
- To constantly review and improve working process to achieve high efficiency
- Set clear objective and lead the team to improve on their productivity and performance.
- Generate a learning and feedback culture, ensuring absolute honesty and fairness.
- Embedding high performance, driving change and continuously looking to improve the way we do things, remove waste and create efficiencies by adopting a continuous improvement approach.
- Interface with Front Office team, Finance or Backoffice team in respective markets when required and build up a working rapport
Person Specification
Essential:
- Education Qualification – University graduates in any discipline, with Japanese language level 1 and English CET 4 or 6
- Advance knowledge of Microsoft Excel, able to do macro
- SAP knowledge is essential
- Basic Keyboard skills are essential
- Basic Internet knowledge essential
- Some understanding on file formats such as PDF/TIF/HTML and XML would be of an advantage
Language Skills
- Language requirement – Japanese language will be Level 1 Proficiency. Able to interact with Japan Sales team. And good written English able to interact with Global planners across EMEA

Responsive to customer orders and meeting promise date RS has provided to customers. Take accountability of pull in activities, reduce lead time. Is dedicated to meeting the expectations and requirements of internal and external customers

Keeping the team informed (Front Office and BackOffice), and communicating to important stakeholders as and when required, especially Sales team. Provide timely feedback and escalation is important.
- Flexibility
Able to flex to the different demand, across languages and processes, up and down with the volumes through the day/month/year. Require to be flexible to support the team during peak days.
Able to flex across markets once being trained.
Able to flex supporting other markets even China is observing their bank holidays.

Excellent ability to work with the team as a team, and individually
- Tardiness and time keeping
Being punctual and excellent in Time Keeping is essential to the role
