Position Summary
This role directly responsible and monitor for the overall administration and operation of the Office include day-to-day operation, office extension and renovation project, new staff commencement. This position works closely with each staff, vendors and other offices (APAC, US and EMEA). Also, to provide assistance to the VP of Operations, APAC & Managing Director, China in terms of administration, travel arrangements, meetings and working relationships.
Responsibilities
? Administrative Support
- Agenda Management for the Vice President and Managing Director, China (i.e. meeting / interview arrangement ).
- Traveling assistant for the Vice President and Managing Director, China (flight booking, hotel booking and meeting arrangements, transportation arrangement).
- Secretarial support for the Vice President and Managing Director, China.
- Prepare expense report for Vice President and Managing Director of China.
- Provide secretarial support to the office team including daily routine jobs, eg, telephone answering, filing, follow-up, etc.
- Coordinate and manage all travel and hotel arrangement for the team.
- Work and communicate with EMEA and US Head Offices.
- Schedule all internal meetings including weekly briefing, A&C meeting and international conference call meetings.
- Translation (verbal) at relevant meetings, taking meeting minutes.
- Translation (written) of documents as needed .
- Book-keeping, consolidating all invoices, batching, sending to Beijing for settlement. Work with accounts of Beijing re invoice payments and staff claim reimbursement.
- Work with conference organizers and make all logistic arrangements, includes sponsorship, registration and speaker before the event.
- Deal with the vendors and review their services (product) and deals are up to our standard. The offers are in line with the market.
- Work with vendors for booth design, brochures printing and relevant arrangement.
- Oversee the administration policy for the office.
- Manage the day-to-day administration and operations of the office.
- Prepare monthly forecast on travels.
- Preparation for on boarding staffs (i.e. Business Cards, Blackberries, etc).
? Office Management
- Presentation - cleaning company, brochure racks, etc.
- Office room maintenance and other issues via building management.
- Resources/Supplies - maintain sufficient stock level of office stationery and sundry items (eg. Printer ink, distilled water, etc.).
- Assist with Director of IT on Equipment (procurement and maintenance) such as all IT issues, Tele communication system, via laison with Head Office and local IT vendors, photocopier, et.
- Office extension and renovation projects .
- Meeting space management.
? Accounting: Managing monthly payment of Shanghai Office with Beijing Office.
? Operation Supporting:
- Liaise and provide assistance to China hotels.
- Prepare expenses forecast for Shanghai Office on monthly basis.
- Prepare wire transfer forms for procurement occurred at Shanghai Office.
- Prepare travelling expenses on pre-opening offices visits.
- Prepare translation on correspondence between owning company and Wyndham group.
- Prepare relevant documents for pre-opening hotels, i.e. Pre-Opening Budget, restaurant concepts.
Requirements / Qualifications:
? Professional qualification or university graduate.
? At least 5-year relevant experience. GM Secretary in 5 star international hotel background will be preferred.
? Working background in MNC preferred.
? Able, discreet, detailed organized, careful with information and work follow up.
? Resourceful, proactive, well manner, team player but also able to work independently.
? Good comprehension and writing skills, proficient in common computer applications.
? Must be fluent in written and spoken English and Mandarin.
