职位描述
Position Purpose/Summary:
To provide administrative (general and financial) and clerical support to HPS Japan operations group.
Demonstrate leadership in all interactions with both internal and external customers and work in coordination with PAS, LSS & AS team to ensure that administration work is effective
Key Areas of Responsibility:
PSF / Oracle Booking Management
Setting new customers up on system.
Entering variations and new jobs into the Financial system and Siebel.
Registration of spot numbers on PSF for invoicing
Generate reports to support leadership on booking and forecasting, etc.
Billing Management
Issue invoices timely per the instruction of Project Manager
Amend the invoice if required by Project Manager or customer
Collect project timesheets and expenses for invoicing & filing from PM or EM
Purchasing & supplier Invoicing
Place intercom order to factory and follow up the order schedule per the inventory requirement and project request
Update the customer or PM/EM the delivery schedule
Expedite the order according to the project required schedule
Follow up shipment and do goods receiving in Oracle
Coordinate with the PM and the customer on the delivery schedule to the site
Prepare shipping doc.
Prepare Purchasing requisition for 3rd party material
Submit PR to Supply Chain for purchasing
Follow up the shipment schedule
Coordinate for the shipment to the site
Prepare shipping doc. Where required
Approval and management of subcontractor invoices
Goods receiving in Oracle
Project Service Request management
Create Service Request in Siebel for the request from Internal and External customer and assign to right function
Follow up SR resolution
Close SR once resolved
Customer Contract management
Customer contract set up in Siebel after ePSF booking
Customer contract annually renew in Siebel
Administration/Maintenance
Handling customer inquiries.

Completion of 4 years university study
Microsoft applications training / certificates (or equivalent experience) – Intermediate to Advanced level appropriate
Experience
2 years+ in an administrative role or Supply Chain role
Professional Skills / Knowledge
Courteous, well spoken in Japanese & well presented
Desire and proven ability to deliver excellent customer service (internal & external)
Able to work under pressure and prioritise
