Roles and Responsibilities:

    

As Process Executive, you will be responsible for one or several of the below responsibilities depending on the scope of work established with a particular client or clients:

  • Supplier Setup/Enablement: Process client requests for create/add/change/delete suppliers in client procurement systems (e.g. Ariba, Coupa, Oracle) in accordance with client-specific Standard Operating Procedure (SOP); tasks include:
  • Contacting vendors for registration information (e.g. address, bank account, business license)
  • Validating and entering data in client systems
  • Confirming with requesters on completion of supplier enablement or creation request within agreed response time
  • Responding to queries from requesters and suppliers relating to supplier setup/enablement
  • Educating requesters and suppliers on the process as required

  • PO Conversion: Process client requests for creating Purchase Order (PO) in client procurement systems (e.g. Ariba, Coupa, Oracle) in accordance with client-specific SOP; tasks include:
  • Review purchase requisitions (PR) for completeness and compliance with client’s Procure to Pay policy including Supplier Name, Item Description or Scope of Work, Quantity, required Approval, back-up documentation, alignment of back up documentation to requisition
  • Communicate with requesters and/or suppliers as required for missing data or clarification
  • Work with requisitioners to ensure change orders and other updates to purchase orders (POs) are completed accurately and efficiently
  • Maintain all appropriate back up documentation associated with each PO as required
  • Contribute to internal training and provide support to requisitioners across the business on vendor creation and amendment, purchase requisitioning and other procurement processes
  • Support and participate in internal and external process audits as required

  • Other Processes or Tasks:
  • Tracking and reporting to ensure meeting client-specific performance expectations (i.e. KPI, SLA)
  • eRFx/Auction Management and supplier training
  • Spot buy as required per PO Conversion process
  • Catalogue/Price File Content Maintenance
  • Supplier & Material Master Maintenance
  • Contract administration/data maintenance

  • Client Relations: Ensure high client satisfaction while delivering the services:
  • Build and maintain good working relationships with client personnel and associates in the delivery teams and outside suppliers
  • Be a strong advocate and subject matter expert in the end-to-end Procure to Pay process relating to indirect goods and services
  • Participate in the development of process and training materials and assist in delivery of training to associates and client personnel
  • Participate in projects, and process improvement initiatives as required

  • Chinese resource very well conversant in Japanese as well. This will enable us to meet the customized requirements for both geographies. He would be also leading HKTW sourcing.
  • The resource need to have a very strong supply chain sourcing background who could handle Japan as well.
  • Background from companies such as GEP, BCG is preferred.

                

    

    

Work Experience and Educational Attainment:

    

?        Up to 5 years of industry working experience and in sourcing and procurement a plus

    

?        A BS/BA in business, sales, purchasing or engineering

    

?        Experience with Multinational companies (MNC) and/or Japanese corporate culture and change management

    

?        Bilingual English and Mandarin a must; other Asian languages a plus
