BRIEF JOB PROFILE DESCRIPTION:
The operate manager is a member of the leadership team of EY Global Delivery Service Dalian (GDS-Dalian), providing payroll transaction processing and account support for the strategic EY ACR clients in Japan. In the role, the people will be responsible for team/ account management, coordination, process improvement and delivery of Payroll, including, but not limited, HR/salary Update basic information, Payroll deduction calculation processing, Creation and submission of transfer data and various reports in accordance with client and local government requirement. In addition to these responsibilities, the manager will be responsible to facility the set-up of the new organization by being involved in staffing, process design and transition, etc.
DETAILED REQUIREMENTS:
? Process Management:
o Achieving KPIs / SLAs contractually agreed with the customer
o Analyzing data and trends, implementing projects for continuous improvement based on Lean/Six Sigma, Digital/ AI methodologies
o Owning and delivery of Operational Excellence Framework
o Rightly schedule and manager resources to meet demand for operations
o Owning and manager the Standard Operation Procedures and other knowledge management tools
o Owing the reporting both for client and EY GDS for Operations review
o Identify recurrent problems/issues in Operations and resolve
? Client Management:
o Showcase and practice excellent client handling skills to ensure customer satisfaction
o Escalation tracking and resolution for client issues
o Be part of the client organization to drive improvement projects
o Own and hold periodic reviews with clients on Operational performance
o Ensure client response time is within acceptable limits set with the client and deadlines are met with accuracy
? Team management:
o People management – Ensuring employee satisfaction scores via practicing people leadership skills and implementing HR best practices and initiatives
o Being part of people initiatives organized by HR team and owning delivering on the same
o Monthly, Quarterly and Yearly Individual Performance discussions and appraisal
o Developing development action plans, coaching and mentoring team members, developing talent, organizing career path meetings with team members
o Owning and facilitating team meetings daily for better process performance and enhancement
o Conflict Management and resolving issues not only within team, but also inter-team and cross functional
o Maintain discipline and positive behavior / environment in the team
o Own 100% accurate and timely inputs for the team they supervise for salary, leaves and incentives and other HR systems like employee health and safety regulations, etc.
o Own organization of motivational programs for team members
o Participating in selection of new team members or hires
o Ensuring Learning Path for all team members is completed within deadlines;
o Keeping the team motivated and focused, closely monitoring the service delivery operations to ensure compliance with key metrics and contractual SLAs, interacting with and managing customers & key stakeholders on a day to day basis and undertaking regular process improvement measures based on customer feedback and data analytics
REQUIERED WORK EXPERIENCE:
? Strong understanding of Japan HR, Especially Japan Payroll including, but not limited, Year-end adjustment, Resident tax, oversea payroll process, and the best practices, requirement, international HR other up/down streams preferred.
? Ability to work independently, manager multiple priorities, and work in an unstructured, global, and virtual environment.
? Desirable to have 4+ years of experience in team management role handling HR& Payroll process management and delivery in BPO/Shared Services industry or similar domain industry
? Proven track record implementing large scale, finance transformation efforts for standardizing Payroll process, including process design and transition, and digital tools implementation to improve the process productivities.
? Desirable to have 2+ times of experience in Japan HR including payroll, but not limited, process knowledge transferring.
? People Management – Coaching and Mentoring skills; proven experience in leading teams of or above 30-100 people;
? Project Management skills (time and budget control)
? Strategic thinking with insight to understanding and act on Customer / Business Unit needs
? Ability to work cross-functionally with teams to build team consensus, develop effective relationships, resolve conflicts, and influence other with the power of persuasion.
REQUIERED QUALIFICATOINS AND EDUCATIONS:
? Bachelor’s Degrees or Above, major in Japanese
? MBA would be an advantage;
? Fluent Japanese skills (JLPT-N1 or J Test -D will be a plus)
? Good spoken and written in English
? Strong interpersonal, Communication and problem -solving skills, Presentation and Change Management skills
? Process excellence background and or certifications (Six Sigma etc a plus)
