JOB SUMMARY
Dynamic and self motivated Executive Assistant to support a the vice president. The position requires to be flexible, organized, proactive, and calm under pressure. Excellent communication and inter-personal skills are essential for this role because interaction with senior staff and others across all levels of business groups is necessary. This position also requires a professional demeanor, sense of urgency, sense of confidentiality and the ability to prioritize.
The main responsibilities include calendar management, scheduling meetings and travel, expense reimbursement, communication support and other special projects (e.g., preparing presentations, literature search, etc.) as requested.
JOB DUTIES AND RESPONSIBILITIES List and describe the essential duties and responsibilities of this job in the order of importance or prominence (from most to least essential functions) below. ? Calendar management: Ensures appropriate time management (schedules preparation time for important meetings); schedule and arrange meetings. Scan incoming meeting invitations
? General administrative support: Track and follow up on urgent and pending issues; prepare correspondence; maintain group working, reference and historic files; and process incoming and outgoing mail.
? Maintain working knowledge of relevant company policies and procedures and provide information in this regard as required
? Manage expense reporting for executive and North American Team, by preparing and submitting expense reports, often including complex international travel related transactions.
? Provide finance and budget support by submitting requests for purchase orders, and tracking invoices through the payment process
? Support or facilitate communication with international affiliates outside of normal office hours as needed
? Business travel arrangements for executive and North American Team. Understands executive's preferences, and proactively troubleshoots and addresses travel conflicts. Additionally, generates detailed itineraries, including arranging for the use of visitor offices and coordinating office support needs in satellite locations.
? General project management: proactively design, organize, and manage projects including the preparation of presentations under guidance, do basic research needed to complete presentations, spreadsheet preparation, tracking goals for teams and individuals, etc.
REQUIRED EDUCATIONAL BACKGROUND AND JOB-RELATED EXPERIENCE:
Minimum Level of Job-Related Education:
? Diploma or Bachelor degree with major in medical or pharmaceutical would be highly appreciated.

Minimum Amount of Job-Related Experience:
? Strong verbal and written communication skills; highly polished, mature, and articulate
? Excellent inter-personal and writing skills
? Exceptional organizational skills with a demonstrated ability to work in an accurate manner
? Demonstrated ability to work efficiently and to perform tasks simultaneously with minimum supervision in a fast paced environment
? Possess a high-level of proficiency with Microsoft Office
? Ability to exercise sound judgment and determine priorities
? Demonstrated experience problem-solving and maintaining a proactive and diplomatic demeanor in complex, ambiguous situations
? A minimum of 10 years of Executive Administrative experience required
? Proficiency in French is a plus
