职位描述

Job Scope
- Responsible for handling of incoming and outgoing calls including distribution
- Receive, inform, guide visitors including co-ordination
- Responsible for maintaining telephone registers
- Responsible for maintenance and upkeep of the front office/ reception area - clean and presentable at all times
- Ensure compliance of regulations / requirements
- Assist in the general daily administrative running of the office
- Provide assistance in general administrative activities and any other duties
- Contribute information of inclusion in the Monthly Report
- Assist with arranging for cover during periods of Annual Leave
- Ensure clean pantries and the proper monitoring of stocks and regular re-filling of supplies
- Organize mails as per agreed process
- Liaison with courier companies on mail matters
- Utilise the systems to effectively manage contractors and report on their performance
- Responsible for ensuring availability of magazines/ brochures and directory signage
- Co-ordinate medical and dental claim forms
- Assist in the management of conference and meeting rooms
- Co-ordinate with local office events
- Co-ordinate the printing of business cards

Competency Criteria
- Experience in front and back office processes is required with strong Administration Skills.
- Strong Customer Service focus, good attitude and manner
- Excellent people skills and ability to interact with a wide range of client staff and demands
- Knowledge of occupational safety requirements
- Strong PC literacy and proven ability to manage daily activities using various systems, including the internet and e-mail functions
- Demonstrated experience with continuous improvement initiatives
- Demonstrated experience with client reporting and preparation of reports
- All incoming and outgoing mails and couriers should be handled properly without mistakes
- Response to requests, enquires and complaints within same day
- Ensure re-filling of pantry and stationery supplies within 3 working days
- Make sure the error rate for all reports, records and other assignments is below 5% monthly
- complete all assignments before pre-set deadlines
- no major complaints will be lodged by internal staff or external parties due to negligence, mistake or incompliance with procedures and policies
