职位描述

RESPONSIBILITIES
Morgan Stanley Management (Core – 10%)
- Single point of Management Control for FM in the Morgan Stanley site - day to day Morgan Stanley liaison and relationship management
- Ensuring Morgan Stanley satisfaction through excellent facilities management planning, advice and support and measured by Contract SLA / KPI
- Compile the appropriate monthly/quarterly/annual reporting for the Morgan Stanley

Operations Management (Core – 30%)
- Overall Management for Property Operations and Facilities Services to Morgan Stanley, China
- Acting as the Site Manager for Shanghai, SWFC and being the emergency escalation point to Morgan Stanley client’s representative
- Establishment of positive relationships with the Facilities Management Team, and Morgan Stanley’s staff inclusive of coordinating all-hands social gatherings Communicate operating philosophy, objectives and expectations to the onsite facilities management teams
- Understand the Facilities Management scope for Morgan Stanley assigned and develop Morgan Stanley specific processes / playbook in line with Regional.
- Advise and support Morgan Stanley and Facilities Managers team across a range of facilities management issues including:
- Preparing and managing operational budgets and savings
- Preparing monthly Check Reqeust
- Conduct facilities management operations audits
- Overall management for all 3rd party service vendors with carrying out of regular meeting and SLA / KPIs measurement
- Ensure all 3rd party service contracts are in place without service expiry

Health and Safety (Core-10%)
- Ensure compliance with statutory regulations on fire, health and safety standards
- Ensure all the team members understand the BCP / LDRPS policies from Morgan Stanley and ensure all the successful of the regular call tree test
- Ensure all safety procedures, including Emergency Procedures are maintained at all times.
- Ensure that service delivery teams and on-site contractors undergo a Health and Safety Induction prior to deployment

Others (Core – 10%)
- Overall management of the savings program for Morgan Stanley China and ensure savings targets are achieved
- Liaison and interaction with other Jones Lang LaSalle teams (as appropriate) to deliver quality property related advice to Morgan Stanley
- Share best practices / benchmarking information with the assigned owner of best practices for Jones Lang LaSalle
- Support and Assist the setting up of 360 PPM system in China

Reports & Meetings (Core – 20%)
- Consolidating & Review all reports for review and submission
- Attend Regular Meeting as bellows:
- Weekly Meetings (20 meetings per month)
- SH / BJ FM Meeting
- SH Property Operations Meeting (can be combined with SH FM Meeting)
- SH Weekend Task Review
- SH CS Meeting
- JLL Procurement Meeting (can be reschedule as bi-weekly meeting)
- Bi-Weekly Meeting (6 meetings per meeting)
- ZH FM Meeting
- KP BMO Meeting (Engineer Manager should be participate instead)
- JLL Regional review Meeting
- Monthly Meeting (10 meetings per month)
- SH / BJ / ZH PPM Schedule Review
- SH / BJ / ZH Vendor Performance Meeting
- SH / BJ / ZH Vendor Meeting Weekend Tasks (can be combined with Performance meeting)
- SWFC BMO Meeting
- SH Team KPI / Performance review meeting (to be deleted)
- JLL-MS monthly report / KPI review meeting
- Regional Savings meeting
- Accrual meeting
- Sharepoint review meeting
- JLL Account Lead Meeting
- Quarterly Meeting
- ZH Vendor performance meeting
Human Resource Management (Core – 20%)
- Provide the leadership to the Facility Management team for Morgan Stanley, China
- Overall responsibility for the management of a team of over 20 onsite facilities and property management employees
- In consultation and collaboration with line manager, oversee the operation, staffing, performance and development of the Facilities Management service delivery staff.
- Coordinate discussions with each direct report regarding goal setting, performance reviews, and career development planning and incentive/salary administration in a regular basis and further discuss with Morgan Stanley team


REQUIREMENTS
Experience, Education & Qualifications
- Bachelor Degree in any discipline, preferable in administration management, building and facilities management
- Minimum of 8 years’ experience in the corporate real estate, facilities and /or property management industry

Competency Profile
- Client relationship management skills
- Understanding of facilities management and an ability to translate that understanding into advice
- Acumen in financial planning and management
- Good planning and organisational skills to prioritise work and meet tight deadlines.
- Sound computer skills in Microsoft Office, MS project & excel
- Demonstrate initiative leadership, responsiveness and creativity.
- Good written and verbal communication skills
- Self-confident and motivated
- Flexibility and adaptability
- Ability to support others / the team in achieving goals
- Ability to think on your feet and effectively deal with stress in a supportive environment is also considered necessary
ability to quickly establish and effectively use relationships / contacts with Jones Lang LaSalle colleagues and Morgan Stanley
