Job Description:
- This Office Administrator will be key to the efficient operations of our Shanghai office and responsible for effectively managing office services and administrative functions for the office location.
- The Office Administrator will assist in the generation of proposals, maintain department files and records, prepare periodic reports regarding the status of current projects, make copies, distribute mail, work with order entry, support sales team regarding clerical functions and ordering of supplies and be required to put information into Excel and/or PowerPoint by applying technical concepts.
- The Office Administrator will assist with the immigration process for China. This person will coordinate office building/facility matters (maintenance requests, communications, access cards, etc.). Serve as a resource for staff that has questions regarding office policies and procedures
- Candidates must have a strong sense of customer service, and be well organized with excellent written, oral, and interpersonal communication skills. They should be solutions-oriented and proactive, while taking ownership of their work and excelling in a team environment.
- The Office Administrator must possess strong time management skills, with attention to detail, following through on projects and handling multiple tasks.
Job Requirements:
- College degree is a plus.
- 5 years of experience in administrative assistance or office management.
- Proficient with all Microsoft Office 2010 products including: Word, PowerPoint, Excel, and Outlook.
- Oracle and Microsoft SharePoint experience a plus.
- Strong writing skills and an aptitude for computers, engineering, or technical understanding a plus.
- Must possess good written and oral communication skills.
- Must maintain high level of confidentiality.
- Must be able to conduct business in English 90% of the time.
- 5 years of experience in Export – Import procedures a plus.
- Electronic invoicing and collections is a plus.
