职位描述
I. Purpose / Key Job Objective: To provide secretarial and admin support of VP(Public Relationship)
II. Main duties/Responsibilities
To competently perform the following secretarial and administrative assistant duties in an efficient and accurate manner, namely:
1. Typing accurately (without error) 50+ wpm, creating and maintaining files, filing, handling of correspondence to include opening of mail, drafting letters or communications, proofreading.
2. Scheduling and co-ordinating meetings/client visits, ensuring that agendas are well co-ordinated beforehand.
3. Organising worldwide travel/hotel arrangements and co-ordinating itineraries.
4. Organising conferences (off-site and internal)/lunches/dinners and special events.
5. Handling correspondence in the absence of the VP and delegating where appropriate.
6. Ensuring that work being done for or on behalf of the VP is submitted on due dates (i.e monthly reports) and that files are actioned as appropriate.
7. Welcoming visitors to the office and providing hospitality for them, if appropriate, on the VP’s behalf.
8. Translating general correspondence into English or Chinese, as requested.
General Administration:
9. Co-ordinating details and scheduling of meetings or events and ensuring that all payments to vendors are made promptly and are logged accurately.
10. Providing orientation to new employees on office policies and supporting processing of new hire paperwork, visa or work permit procurement.
11. Working with regional resources to set up new hires with email address and access, computers, telephones, office supplies etc.
12. Processing expense reports in an accurate, timely and diligent manner.
13. Performing any other duties the Employee may be instructed to carry out by management or the board of directors that are reasonably within the scope of the Employee’s job position and work capabilities.
14. Support the Operation team for Claim log and filing.
III. Experience Required
? At least 5 years experience in similar role or as an EA or PA to Senior Manager.
? Fluency in English and Mandarin – verbal and written
IV. Education /professional qualifications required
? University education required
? Degree or Certification in Secretarial Studies/Office Management preferred.
V. Skills
? Basic secretarial skills, wordprocessing, audio-typing, PowerPoint, excel) and general office administrative skills as noted under section 3.
? Clear and professional communication, grammar and business writing skills
? Good organisational skills
? Initiative
? Ability to meet deadlines with accurate work product
? Good time management
? Patience.
