职位描述

6. Goals
Provide overall office administration support efficiently to make sure the service is in a healthy and improvement level, meanwhile to support relevant HR initiatives.


7. Task and responsibility

· Admin Area

(1). Responsible for receiving and disseminating all in /out mailings accurately and timely, including daily in city express, domestics / overseas regular post /couriers as well as shipping stuffs.
(2). Handle incoming calls and and inquires professionally and efficiently, should take messages upon necessity and urgency
(3). Support any projects related to office moving, fitment, refurbishment
(4). Monthly admin payment arrangement and input into BPCS meanwhile to do cost analysis on admin expenses, which include telephone fee, water fee, car & lease fee, management fee, expatriate administrative fee, WGQ office miscellaneous fee, etc.
(5). Maintain office visual board, suggestion box and keep office clean and tidy all times
(6). Collect the application for name card and arrange the vendor to print(
(7). Support employee activities and HR initiatives, such as birthday party, core brief, annual dinner, mini-ECI, employee’s community’s communication to make sure employee relationship is in a healthy status.

· HR Area

1. Responsible for new employee registration and exit procedure.
2. Support HR recruitment activities, such as posting the job on recruitment website, send interview appointment to interviewer, reception with interviewees
3. Support employee training, such as booking the venue, collect attendance and evaluation form.
4. Send out monthly training calendar, webinar info to site employee

· Personnel Support for Technical & Quality Manager

1. Handle the reimbursement claim
2. Air ticket and hotel booking for Technical & Quality Manager
3. Consolidate T&Q Dept’s monthly report AP, EU & Global Quality report in month end

8. Educational background

(1). Bachelor’s Degree in Human Resources Management or administration
(2). At least one year working experience in administration area or has potential in HR initiatives

9. Knowledge and experience

(1). Good computer skills i.e. Microsoft Excel, Word
(2). Pleasant voice and enthusiastic
(3).· Good team player and a helpful person with good service mind
(4).· High degree of credibility, professional competency and personal integrity
(5). Hard-working, well-scheduled and with high sense of responsibility
(6). Good in English & Mandarin(both oral and written)
