Job Title: Receptionist & Office Administrator
PURPOSE:
The purpose of this job is to provide professional, comprehensive service including reception, courier management, admin vendor management, billing checking, Visa application and related admin support to Lubrizol Pudong office.
RESPONSIBILITIES / ACCOUNTABILITIES:
? Answer and handle the incoming calls promptly and professionally;
? Arrange visitors greetings and administrate conference rooms;
? Be responsible for courier arrangement
? Check and review monthly bills for stationery, courier, travel tickets and other related expenses, and apply expenses in SAP system;
? Administer petty cash;
? Liaise with related service vendors such as express service companies, office building facility department, stationery supplier, etc.;
? Reserve air/train tickets and hotels, and arrange meeting logistics when necessary;
? Handle visa application process;
? Deliver the admin part in Day 1 New Hire Orientation, update the training material timely;
? Maintain the admin SharePoint with most updated information;
? Other administrative work as necessary in the office.
REQUIREMENTS – EDUCATION, EXPERIENCE, SKILLS:
? College or bachelor degree in computer, English or relevant major;
? Minimum 3 year’s working experience as receptionist or office admin and experience in multinational companies is a plus;
? Fluent in both verbal and written English;
? Good computer skills, such as MS Word/Excel/PowerPoint, etc.;
? Good command of professional telephone etiquette and reception skills;
? Good time management skill, detail-oriented and customer-oriented;
? Passion, patient and positive;
? Quick learner and team player.
