职位描述

Job Responsiblities:

1. Secretarial, Receptionist and Operation Support

Pick up all phones either from outside or inside by: “Hello TMS”; Answer telephone calls professionally, service oriented and transfer to appropriate staff member
Meets and greets visitors and clients on arrival, informs related staff of arrival and provides first customer service kindly;
Distribute all incoming and outgoing fax messages and immediate inform staff on arrival;
Establishing and maintaining excellent working relationships with internal and external clients, using informal channels and developing own networks to achieve faster work results for the colleagues through effective partnerships
Coordinates and maintains effective office procedures and efficient workflows, establishes and maintains harmonious working relationships with supervisors, co-workers, and/or guests
Follows the timing and action of solicited information, communicates timing and follows-up as necessary to ensure that deadlines are met.
2. General affairs and attendance reports
Update and distribute the TMS Beijing contact list to each staff regularly when changes occur, make sure all information in the contact list are correct; Monthly update of the contact list from all TMS offices and distribute to all staffs reference
Daily record of staff attendance, staff leave, late arrival and administer monthly report correctly, make sure all attendance records are based on the leave forms and monitoring statistic data
Distribute ‘Monthly-Report’ on every 15th day of every month to HR Supervisor, Accountant Manager.
Coordinates Ar Yi’s and ensures all office areas are clean, maintained and inviting as per TMS Standards
3. Purchasing
Performs purchasing duties for designated equipment, materials, supplies and/or services;
Research and select appropriate vendors and suppliers (criteria: best quality and lowest price), prepares requisitions and purchase orders
Order and keep stationeries, brochures, name cards, envelop printings and printing paper;
Accurate maintenance of current inventories of equipment and/or office supplies
4. Travel Coordination
Book tickets/hotel for clients and staff; provide staff with detailed information on time
Coordinate cars/Drivers for picking up, send off, visits for clients, and business use for staff efficiently. Provide related staff with detailed information on time;
Arrange and record Drivers schedule;
Update drivers attendance, OT records and compensation leave records
Assure and record maintenance of cars and generates and updates driver’s logbook
Update visit report regularly and distribute to all staff notice
5. Parcels Monitoring
Arrange the mail in/out timely, immediate inform staff of arrival;
Parcel monitoring, make sure all parcels could be taken away within one day correctly and keep reception desk area clean and organized
Update supplier about Office working hours/holidays;
Audit and monitor parcels sending – consolidation and big parcels are approved according to guidelines (need approval for 20 pcs up);
Monitor sufficient stock in forms, bills, cartons and coordinate with suppliers for adequate supply Monitor.
6. Other Duties assigned.

Job Requirement:

College or BS degree in administration or related field;
1-2 years experience in an receptionist or administrative role
Strong communication skills in English and Chinese (verbal and written)
Intermediate MS Word and Excel skills
Strong sense of responsibility, Customer services oriented
Trustworthy and credible
Organizational talented, flexible
Proactive, self-motivated, creative problem-solving skills and can-do attitude
Open-minded, pleasant personality, able to handle multiple tasks and balance fluctuating workload, able to work under pressure
