职位描述
Responsibilities:
? Manage the Site database including:
? Project information updates
? Daily reports of the personnel onsite
? Input the FPO’s raised on the project
? Creating monthly cost and labor reports from the database
? Export the database monthly.
? Routine maintenance on the database
? Assist in organizing all paperwork to and from the site
? Assist the Site Procurement Coordinator in preparation of Field Purchase Orders, Payment Claim Forms and other purchasing documents as directed.
? Maintain the file system (see below regarding file system)
? Maintain inventory of Site office administrative materials and advise the Site Procurement Coordinator on office administrative materials needed.
? Submit the weekly Manpower report as directed by the Regional Manager
? Review all site personal expense reports for accuracy and completeness and submit for approval
? Arrange site transportation for site engineers between hotel and site and help to manage the site vehicle
? Support the Regional Manager and Site Manager in other ways as they may direct
File system:
? All project’s purchase requests and purchase orders will be filed in box files by voucher No., as well as saved in PC as backup
? Back up all daily reports in files and computer by date (file label format should include company logo, department name, file name, project No. and project location)
? All payment claims and expense reports will be filed by voucher No. and date for further reference.
? All site contracts & agreements will be filed by date in a box file
? All project vendor invoices will be filed by vendor and by date.
? Back up site attendance record
? Back up all site engineers’ updated passport & visa information
Competencies:
? Bachelors degree with a major in Business Management/Logistic/English
? Must possess good English Skills in reading, writing and spoken language.
? Proficient in Microsoft Office Applications such as Word, Excel, Powerpoint, Outlook, and Access
? Two years administrative experience preferrably with a multi-national Chinese company or Foreign Owned Enterprise. (Would consider overlooking this requirement for candidates that have exceptional English skills and who are enthusiastic.)
? Should have good interpersonal and organizational skills
? Must be willing and quick to learn, cooperative, responsible, and most importantly, flexible.
? Must have excellent integrity
? Must be a highly motivated self starter.
? Must have the ability to work independently under pressure
? Must have the ability to work well with people from many different cultures.
? Must be able to function independantly as well as with a team.
? Must be enthusiastic, well-organized and self disciplined
