MAIN PURPOSE OF JOB:
The primary purpose of this role is to provide administrative, secretarial support to China Manufacturing Lead and Biotech Collaboration Lead and the leadership team members.
KEY ACCOUNTABILITIES:
1. Assume responsibility for designated administrative and secretarial duties as required.
2. Assist in the coordination of logistics (plan, prepare and coordinate agenda or detailed program), for presentations, seminars, trainings, group meetings or conferences hosted by Supervisors, drafting letters, travel arrangements, expense reports and supporting the on boarding process for new team members.
3. Perform complex and accurate word processing tasks in the production of typed and formatted documents, reports and letters, as well as prepare overhead slides/presentations using graphical applications
4. Handle incoming correspondence and determines the response or action required; distributed or make appropriate recommendations of referrals to individuals or departments concerned; keep relevant personnel informed.
5. Responsible for the upkeep, remind, monitor of teleconferences, external appointments, answers / places phone calls. Take accurate message and relay to person (s) concerned promptly.
6. Draft, compose, construct, type correspondence and preserve confidentiality of restricted and classified information
7. Develop a comprehensive filling system for all correspondence, reports and documentary records and labels all working files, folios, reports for easy identification, access and quick retrieval in anticipation of future use and reference. And ensure that all documents are maintained properly
8. Process information and produce reports as needed by the function. Keep a high level of confidentiality with sensitive information.
9. Arrange appointments and hotel accommodation for visitors, and assist them during their visit as necessary.
Any ad hoc work as assigned or any other job/work assigned.
PERSONAL ATTRIBUTES AND COMPETENCIES:
1. Bachelor degree;
2. Fluency in both conversational and written English and Chinese;
3. Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, etc.
4. High integrity and ability to maintain confidentiality and sensitive information;
5. Strong interpersonal skill, verbal and written communication skills, expertise in planning and coordinating department or team events;
6. Strong team work spirit, sense of responsibility and maturity;
7. Self-starter with ability to work well under pressure, multi-task, and prioritize workload in order to meet deadlines in a fast-paced environment;
8. Must be flexible and comfortable with last-minute changes in schedules and workloads;
9. Must be very proactive, detail-oriented and results oriented with excellent time management, organizational and follow-up skills;
