Responsibilities:

Provide overall office admin support including but not limited as:

Visitors support:

• Oversee business travel arrangement for office staff
• Transportation & accommodation booking
• Arrange invitation letter for customers to apply China Visa
• Look after visit’s stay in Shanghai, for example: meal, coffee, transportation

Expatriate support:

• Apply work permit and residence permit application and extension, housing rental, children education, leave administration, expense reimbursement, etc.

Office management:

• Make sure cost effective for vendors of office admin, such as office leasing, hotel, stationery, printing, translations, pest control, etc
• Manage receptionist, company driver and cleaning ladies, check and approve all expense and reimbursement reports
• Office facilities management
• Desk allocation & desk card
• Backup for receptionist during her leave

Company Event and admin projects:

• Organize company events
• Organize big admin projects when needed, such as redecoration, relocation, new site set-up, support registration, and etc.
• Set up and implement office admin policies and procedure, communicate with new employees and keep all staff updated
• Be responsible for admin budget, and review monthly admin cost, make analysis and continuously improve it
• Others duties as requested by your manager

Requirements:

• College degree or above, at least 5 years working experience in office admin
• Good communication skills with fluent English and Mandarin, both orally and in writing
• Good PC skills, such as MS Word, Excel & Power Point
• Proactive, open-minded, detail-oriented, ownership
• Well developed interpersonal skills, with an ability to communicate well at all organizational levels
• Ability to solve problem and act independently, willing to work under pressure and with challenge
• Strong sense of principle, planning, process and priority
• Accountability
