JOB SUMMARY: The Beijing Office Administrative Assistant is responsible for providing administrative and project support for the office. This position supports the team by scheduling and coordinating meetings, handling requests for the production of documentation and mailings, and coordinates administrative tasks such as expense reports. This position also acts as a liaison with local stakeholders, including but not limited to company members and candidates.

    

    


ESSENTIAL FUNCTIONS:

    

    

? Provides support with all forms of communication including scheduling meetings and conference internal and external constituents.

    

? Responds to and executes requests for mailing labels, facilitate printing and sending.

    

? Assists with travel planning, including international travel, and expense reporting.

    

? Assists in the preparation of reports and presentation materials by collaborating with the team to ensure deliverables are accurately prepared.

    

? Document meetings and conference calls, assists in drafting summaries.

    

? Acts as a liaison with local stakeholders i.e., company members & candidates, insurance. Companies, universities, regulators, other associations, etc.

    

? Assists with special projects and key event planning, preparation and onsite support.

    

? Assists with Weibo and WeChat accounts.

    

? Serves as company's Asian regional customer service representative.

    

? On-site assistant for educational events including registration desk, materials preparation

    

? Other duties as assigned.

    

    


EDUCATION AND EXPERIENCE REQUIRED

    

    

? Bachelor's Degree is required.

    

? A minimum of 3-5 years in an office support position.

    

? High proficiency in English and Mandarin with strong written and verbal communication skills.

    

? Advanced skills in Microsoft Office software: Word, PowerPoint, Excel and Outlook.

    


    

    

KNOWLEDGE, SKILLS, AND ABILITIES including competencies that may be representative, but not all inclusive, of those commonly associated with this position.

    

? Attention to detail in composing, typing, and proof-reading materials.

    

? Ability to multitask, prioritize projects, meet deadlines, with a strong attention to detail.

    

? Ability to maintain a high level of confidentiality while dealing with sensitive situations and documentation.

    

? Ability to make objective decisions using sound judgement.

    

? Occasional domestic and international travel may be required, applicant should hold relevant documents allowing for travel.
