职位描述
岗位职责 Responsibilities:
1. 熟悉前台工作流程,熟练使用各种办公软件和设备;
Be familiar with receptionist work flow. Be good at using office software and equipment.
2. 前台电话的有礼接听并能准确高效的转接电话或阻断广告电话;来访人员的有礼接待;来客将其带入会客室,倒水、咖啡等;
Receiving and transferring phone calls or block the advertising phone calls politely, accurately and efficiently. Polite visitors’ reception. Get the visitor some water or coffee in the reception room.
3. 安排机票,火车票及宾馆的及时预定并具有成本意识,并完成每单的登记录入和费用核对确认,月底生成月度费用报表并安排和供应商结算;
Book the flight tickets, train tickets and hotel timely, have the sense of cost saving. Register the booking record and cost confirmation one by one, day after day. Complete the monthly report and settle the payment with the suppliers.
4. 日常快递工作(包括国内、国外快递)的收发,检查相同地点的快递,询问同事并安排合并快递寄出;并完成每单的登记录入和费用核对确认,月底生成月度费用报表并安排和供应商的结算;
Daily courier’s sending and receiving includes domestic china courier and overseas courier. Check the sender and the destinations to combine the couriers in one if the destinations are the same. Register the record and cost confirmation one by one, day after day. Complete the monthly report and settle the payment with the suppliers.
5. 各种运单(国际国内快递)按月保存,保存年限为二年;
Well keep the express sheets both for domestic and overseas couriers. The retention period is two years.
6. 办公用品的采购,有序管理及发放;作好办公用品及文具的领用记录;每周两次定期整理摆放办公文具的橱柜,保持整洁有序;
Purchase, manage and dispatch the office daily use and stationery in order. Take the usage record and keep the record updated. Clean the stationery closet twice a week and keep them in order.
7. 矿泉水、咖啡豆等日常用品的采购和持续供应;和阿姨日结日常用品开销;日常用品包括水果、牛奶、垃圾袋等;
Office water and coffee’s purchase and supply continuously. Contact with the suppliers of electric devices in the kitchen for maintenance and keep following up. Daily settlement with AYI for the daily supplies such as fruit, milk, garbage bags.
8. 和提供办公室绿色植物和鲜花的供应商及时沟通,保证绿色植物和鲜花的新鲜状态,美化公司环境;
Communicate with the ‘office plant and flower supplier’ timely to make sure the fresh situation of the green plants and flowers and beautiful office environment.
9. 每月及时为员工充值饭卡;在公司的share calendar上记录同事生日,订生日蛋糕并合理安排庆祝的时间;
Arrange the recharging the lunch card for employees. Take the colleagues’ birthday in the share calendar. Book the birthday cake and arrange a day to celebrate monthly.
10. 保持前台工作区域整洁;如各种快递运单,空白运单和快递袋的整洁有序摆放;
Keep the clean status of the receptionist area Keep the clean and in order status of all the courier sheet, courier bag and envelope.
11. 每天定期整理公司打印机区域的文件资料,保持其整洁有序;
Sort out the papers around the office printer area in order to keep a clean and in order status persistent.
12. 及时更新公司员工分机号码并发给同事;
Update extension list and send to all colleagues timely.
13. 厨房生活电器的报修和跟进处理;办公室如有电器等物品损坏要及时报修;
Repair the electronics equipment timely in the kitchen and follow the repair process as well as the other electronics machine in the office.
14. 部门经理安排的其他工作;
Other jobs assigned by line manager.
Requirements 任职要求:
1. Bachelor degree 本科以上学历
2. 1 year related working experience, service-oriented and hopeful
1年以上前台接待、行政相关工作经验,服务意识强,乐于助人
3. High sense of responsibility, patient, detail-oriented, proactive, loyal, good team worker
责任心强,有耐心,注重细节,工作积极主动,忠诚度高,团队意识强
4. Strong working knowledge of Microsoft Office, especially Word, Excel
熟练使用WORD, EXCEL 等办公软件
5. Good English & Chinese communication skills both in written and oral
良好的英语读写能力
