SUMMARY
The primary role and responsibility of the Officer, People - Northern China is to provide specialist support, advice and solutions to all staff and Managers within the Northern China on all HR related matters.
ESSENTIAL DUTIES
Documentation:
* Arrange and execute visa applications and renewals for expatriate staff in compliance with local immigration regulations
* Prepare letters of offer,employment contracts and commission / bonus schemes for local staff at all job grades,inform payroll,brief staff on contract terms, renewal of employment contracts (PRC only) as required
* Prepare Change of Employment Terms & Conditions letters for local staff at all job grades,inform payroll of salary and benefits changes,update master list with new details
* Respond to Government Census surveys in relation to headcount,salaries,etc
* Prepare and distribute Staff Movement List for Local Office on weekly basis,and Organisation Charts on a regular basis,update user authority for translation services
* Obtain MD approval for relevant documentation in Local Office
* Maintain Annual Leave records and Personnel files for Local Office in a timely and efficient manner
* Issue salary certification letters, visa application letters,internal transfer letters,as required
* Collect, collate and distribute applications for the Employee Referral Programme,organize quarterly draw for Employee Referral Programme awards
Performance Appraisals:
* Administer Annual Performance Appraisals (APA),liaise with Department Heads on appraisal process,assist with preparation,collection,collation and filing of forms for APA and ad-hoc appraisals
Budgets and Corporate Initiatives:
* Assist with compiling and distributing information on initiatives such as
o Employee Referral Scheme,Long Service Awards,Graduate Training Programme,including arranging Campus Talks,UK/China Exchange Programme,General internships
* Demonstrate working knowledge and assist with improvements in environmental issues and corporate social responsibility
Training and Development:
* Assist in the delivery of Month One Orientation sessions for Local Office and other training sessions as required
* Assist with internships,secondments and transfers to other offices and beyond,including preparing appropriate documentation
Compliance and Legislation:
* Be familiar with and comply with all HR Company policies as set out in the Policy & Procedures Manual and Employee Handbook
assist staff in Local Office in understanding and complying with Company policies.
* Be familiar with local or regional legislation and government requirements - such as employment contract law,labour relations laws,health and safety requirements,statutory procedures and benefits,and assist with compliance across the business.
General:
* Maintain the HR storage area,keeping up to date with the filing of Personnel records,subscriptions to HR journals,websites,etc
* Assist with day-to-day tasks such as answering HR telephone lines,diary management,correspondence,expenses,etc
* Respond to all staff queries in a timely and professional manner,referring to in-house experts where required
* Handle registration,administration,termination and discrepancies for medical schemes,pension schemes,social insurance and housing fund,assist with cost allocation for departmental charges where necessary
* Engage in general HR duties for the local and regional HR team

* Fluent spoken and written English and Chinese
* Client-oriented with a high degree of integrity,discretion and customer focus
* Demonstrated ability to think logically showing innovation,analytical,problem solving skills, details attention, flexible in terms of adaptation
* Ability to communicate at all levels within the organization with good verbal and written presentation skills
* Updated knowledge (at an entry level) of employment legislation (particularly related to fair and ethical treatment of all employees),local and regional policies and regulatory requirement
* Proficient in Microsoft packages particularly Word,Excel and Outlook
* Flexibility with working hours
Experience & Qualifications
* University degree or above in People or related discipline
* A minimum of 1-3 years experience in effective HR functions and
management
* Experience within the real estate industry would be an advantage
