职位描述
Mission:
To assist the Law Department / attorneys in providing internal customers legal advice.
As part of the daily management, assist the team in all administrative tasks: Personnel, purchasing, IT, travel, organization of meetings.
KEY EXPECTED ACHIEVEMENTS
-Processing formalities and corporate documents in accordance with the deadlines and procedures.
-Records are updated in the management tool.
-Legal deadlines related to the acquisition and maintenance of Intellectual Property rights are under control.
-The management of legal and administrative files is provided internally and outside. -Efficiently assist attorneys by working with clients and outside contacts to coordinate the initiate legal processes.
-Processing of correspondences.
-Securing data, creating folders, filing and archiving.
Assistantship to the team:
-Manages all team members requests within the deadlines and according to priorities, redirects if necessary (eg. support for professional trips, various troubleshooting, on-site access...)
-Manages the Personnel administration: recordings and specific tasks within the deadlines (other than vacation absenteeism, medical visits, mutation forms, mandatory trainings, newcomer welcome, departures, etc.)
-Manages computer accesses at arrival and departure of team members (material and various network accesses).
-Organizes recurring meetings of the entity (planning and logistics) and other meetings on request from team members: respects the organization deadlines, the timing and books meeting rooms accordingly, sends invitations to participants, forwards the agenda and venue.
-Writes the meeting minutes. (Optional).
-Organizes the Manager’s trips (logistics) within the dedicated system. (Optional). -Applies the archiving and classification rules (confidentiality/retention) and educates the team. -Manages the archiving of legal documents.
Purchase management of the entity:
-Manages purchasing for the entity through systems according to the needs and specific requests.
-Manages purchase orders and forwards invoices without order to external service.
-Applies Purchase rules and educates the team.
-Validates invoices without order. (Optional).
-Monitors the budget of external purchases (supplies, providers ...). (Optional).
Relay for information:
-Provides the information relay for the proper functioning of the entity: distributes information within the deadlines via the Manager and/or by e-mail with the appropriate distribution lists and/or ensures the update of the bulletin board when necessary.
-Distributes Entity and Group information notes.
-Writes Entity information notes. (Optional).
-Updates the various lists (distribution lists, organizational charts…).
Welcome and service Image:
-Welcomes each visitor or telephone interlocutor (outside entity or external), redirects and gives a response adapted to its needs.
Requirements:
-Major in law with bachelor’s degree or above.
-Fluent oral & written skills in English.
-0-2 years of legal related work experience.
-Passing the Judicial Examination is a plus.
