ESSENTIAL DUTIES


1)As personal assistant to the Assistant Managing Director, you perform all secretarial, clerical and administrative tasks as required by the Assistant Managing Director, and from time to time by other Department executives. Examples of such services include:
?Typing, shorthand taking and audio-typing in respect of daily correspondence, reports and other documents.
?Receiving telephone calls on behalf of the Assistant Managing Director and other Department executives. This includes taking messages and acting on or following up on those messages when appropriate, as well as setting up conference calls when required.
?Receiving, sorting and following up on the daily mail on behalf of the Assistant Managing Director and/or the Department.
?Preparation of proposals, reports and other documents.
?Independent correspondence on behalf of the Managing Director.
?Collation and binding of reports, submissions and other documents.
?Appointment arrangements on behalf of the Assistant Managing Director, including all necessary preparation work and follow-ups.
?Meeting arrangements, liaising with clients and other staff members before and after the meetings, meeting room set-up and any catering arrangements needed.
?Managing and maintaining an up-to-date client contact database (Outlook, RECD etc).
?Diary management on behalf of the Assistant Managing Director.
?Travel and local transport arrangements for the Assistant Managing Director. This includes preparing travel schedules and meeting itineraries, collating reports, documents, board papers, schedules and name cards required for the trip, as well as the processing of passport visas, liaison with travel agents on air tickets, and the preparation of monies and funds needed for the trip.
?Preparation of travel expense and other expense claim forms, as well as all necessary follow-up work,
?Minutes taking, typing of minutes and any ensuing follow-up actions needed.
?Carry out basic research and enquiries when directed to do so.
?Troubleshooting problems in respect of equipment and systems.
?Executing Power Point or marketing presentations.


2) Assist the Assistant Managing Director and Department executives in special projects. This may include coordinating marketing and other projects, organizing conventions and social events, coordinating the collation of market or financial data, preparing marketing proposals, sourcing for products, selection of contractors, taking charge of renovation projects.


3) Execute any other assignments or projects as directed by the Assistant Managing Director.
?Filing and management of a useable and up-to-date filing system.
?Maintain a system of back-up copies of computer-generated files.
?Mailshot compilation and execution.
?Preparation of spreadsheets, photocopying, data entry, facsimile transmission.


REQUIREMENTS
As Personal Assistant to the Assistant Managing Director, you are responsible for the secretarial and support in Valuation and Advisory Department. Other than providing vital secretarial and back-up assistance to the Managing Director, you play a key role in assisting Department executives in the day-to-day running of the Valuation and Advisory Department and the execution of Department projects. The job demands a sound level of secretarial skills, organizational and supervisory abilities, interpersonal skills, maturity, a service aptitude, initiative and common sense. To perform successfully, you must have the following requirements:
?Fluent spoken and written English and Chinese (Cantonese) as well as an ability to speak basic Mandarin.
?Possess the essential secretarial and computer skills necessary for successful job performance. You must demonstrate an ability to continually upgrade your secretarial and IT skills to keep up with developments in these areas.
?Possess a service attitude, i.e., a willingness to serve.
?Supervisory and leadership abilities.
?Excellent telephone manners and interpersonal skills, particularly the ability to be both a leader and team player to the Department’s secretaries.
?Be able to operate most of the functions of the telephone systems as set out in the Guide to Telephone Systems and instruct junior supporting staff accordingly.
