POSITION OVERVIEW
An opening exists for an enthusiastic and professional Senior Facilities Officer looking for an opportunity to join an award winning Wealth Management and Investment Bank team located in Shanghai. As a Senior Facilities Officer, you will play a key role within the Integrated Facilities Management Team. Reporting to the Hub Facility Manager, you will help deliver the Facility Management services in a timely and efficient manner at all times. Ensuring the operation is well maintained in accordance to the Service Levels and Key Performance Indicators set out below.
DUTIES & RESPONSIBILITIES
- To deliver high quality, prompt and courteous Facility Management services in support of Client's business needs in a safe working environment
- Assist to monitor the Office Facilities & Critical Environment
- To follow established escalation and incident reporting procedures
- Manage and ensure all office equipment are in good working order and consumables are replenished in a timely manner
- Manage and help maintain an orderly office environment, including the arrangement of office ad-hoc repair, landscaping service and cleaning service
- Manage vendor's daily operation and ensure regular meetings are held
- Manage and review vendor/contractor contracts and help provide service performance review ratings
- Follow UBS and JLL policy to purchase office consumables (paper, stationery and pantry consumable etc.)
- To report and submit purchase request for client's approval, purchase from approved supplier and ensure they are delivered on time
- To handle confidential document destruction and document archiving
- Maage the safe keeping of confidential materials such as bank license and related documentation
- Ensure the soft services budget and accrual is within range and monitor the cost associated to meet client's expectations
- Assist to provide the accurate seating plan to support space management
- Actively seek for cost savings options in order to help drive efficiencies and improve operational standards
- Obtain regular communication with landlord and BMO
- Provide data and analytics to FM and client, including but not limited to monthly and quarterly soft services reporting
- Supervise the Receptionist, Cleaner and Messenger
- Provide backup support to team when required (during lunch time and/or on leave)
- Assist restacking or relocation projects if necessary
- Any other duties assigned by the client / FM
Requirements
- Degree qualified
- Experience working in a similar capacity for at least 5 years
- Demonstrated and successful 'hands on' experiences in related Facilities management/ Facilities Officer role operating as an effective FM professional
- High level of attention to detail, particularly in high volume and pressure environment
- Demonstrated ability to proactively build relationships with key internal stakeholders/clients/vendors to support delivery and create business value
- Good verbal and written communication skills in both Mandarin and English.
