Role Objective:

• Oversee all aspects of factory auditing (ethical and technical) for Talking Tables in Asia. Advise Talking Tables on factory suitability according to various customer requirements and industry standards, working with factories to create and close out Corrective Action Plans (CAPs).

• >Factory Audit Management (60% of role in busy periods)

• On boarding of new suppliers, including new supplier assessment form, factory visit/internal audit, Sedex linking and SAQ.
• Coordinate the management of ongoing factory audits both internal and 3rd party (ethical and technical) of our supply base alongside the London Supply Chain team

· Diary management and scheduling of factory audits and factory visits in advance of audits so we are prepared for annual re-audits well in advance.

· Keep Talking Tables systems (Monday.com, Winman) updated with factory audit information attached to supplier records for easy searching.

• Work closely with factories ‘responsible person’. Providing advice, and guidance support through all audit requirements.

· Ensure factories have a plan of continuous improvement to improve standards and go beyond the minimum requirements. Ad hoc visits to key suppliers in addition to audit preparation.

3rd Party Audits

· Negotiate with factories over payment for 3rd party audits.

· Assist with booking audits with the relevant 3rd party auditor.

· Attendance at audits as necessary.

· Review 3rd party SMETA and Technical Audit reports.

· Work with factories to close out non-conformances (NCs).

o As necessary, communicate directly with Talking Tables’ customer sourcing offices in the UK, Hong Kong and China over audit issues and NCs.

o Work with relevant customer systems to ensure relevant CAP information is uploaded correctly.

o Work with factories to help complete customer specific factory set up forms.

Pre Audit site visits and Talking Tables Inspections

· Visit factories to conduct inspections after discussing the requirements expected from the factory related to audit standards.

o Review and assess factories

o Produce visit reports

o Create Corrective Action Plans (CAPs) to close out non-conformances (NCs).

o Work with factories to close out NCs.

o Educate factories to understand what is required for them to become an approved factory for Talking Tables

• Report back to UK team on factory status and progress to close out NCs through daily communication via Skype, email, phone calls.

4. Work with factories, product developers and supply team to ensure continuous improvement is implemented across all factory sites.
5. Work with UK supply team and Production Coordinator in Shanghai to implement and measure factory KPIs for key TT suppliers. Encompassing the assessment of critical functions such as:
6. Ethical standards / technical capabilities / Deliveries / Samples / Product quality/Sustainability
7. Identify weaknesses and work collaboratively with factories to enhance their “score card”.

13. Work with our factories to ensure sensible quality control checks are in place during all stages of manufacturing.

o Focus on implementing continuous improvement to the quality aspects of production.

• Conduct Quality Control checks on sites.
• As necessary, visit factories to conduct AQL inspections.
• Along with the Shanghai Production Coordinator, manage the AQL inspection schedule and review independent factory AQL inspection reports, working with UK team to support on the approval of shipments.
• Ensure the quality of product specifications is adhered to.

· Manage the AQL inspection schedule and work with UK team to support on the approval of shipments.

· Book 3rd party pre-shipment inspections where required

Supporting UK Technologist (10%)

o Work with our UK product technologist as necessary to help book and track product testing in China.

o Work with supplier to ensure required samples are sent to laboratory as soon as possible

o Support with collecting documents required to complete

Characteristics

· Previous experience and/or qualifications as an auditor would be a benefit.

• Experience in both QA and QC, ideally within a sourcing office for a European or USA based importer of consumer goods.

· Excellent written and spoken English.

· Experience of working with Major UK and US retailers.

· A high standard of morals and discretion is needed.

Attention to detail: It is important to ensure all documentations etc. are accurate, up to date and stored correctly on our in house data base.

Self Starter: Take the initiative and analyse findings and answers to think of the next question or action

What skills are important to be successful in this role?

Factory audits: Experience of technical and ethical audit process. Must be familiar with food contact requirements, HACCP, SEDEX.

Well-travelled: experience working directly with factories and UK customers

Up to date with regulations and standards: ie ISO 9001, REACH, EUTR, GPSR’s etc

Product knowledge: Ideally food contact, toys, kids or other high risk product categories

Computer: Proficient user of Microsoft office, specifically Excel, Word and Outlook
