职位描述
Responsibilities:
- Follow closely by scheduled ship date of each order in our system to ensure that the Department has visibility on the latest shipment and logistics status of the relevant clients’ purchase orders.
- Proactively trace copies of shipping documents from vendors after ex-factory, should he or she still has not received from the relevant vendors.
- Check the content of the shipping documents as of the “Shipping guidelines and/or Client compliance/shipping manual” for accuracy against WECA’s confirmation of placement (COP) to obtain reasonable assurance that the documents:
Meet the requirements of relevant customs requirement of import countries
Contain accurate FOB, actual shipment quantities, extended amounts and relevant packing details.
Provide evidence of a “QC pass” as inspected by a WECA quality inspector.
Show that a bona fide transaction and actual shipment have taken place within the timeframe required by the relevant client.
- Liaise with vendors on technical issues with the content of the shipping documents and other discrepancies from the relevant COP that may pose significant complications with customs clearance and affect billing accuracy.
- Obtain necessary confirmation or approval from the relevant merchandiser with regard to such discrepancies from the COP as:
Over or short shipment by more than the threshold percentage as required by the client.
Difference in FOB prices.
Change of shipment mode from ocean to air or vice versa.
Items that may have a high probability to affect customs clearance, duty amount and other trade related issues.
- Seek merchandiser to update COPs where relevant and appropriate, such as the correct FOB price, to ensure accurate billing and data.
- Ensure completion of shipping document audit and corrections timely made by vendors or WECA’s merchandisers that would allow sufficient time for customs clearance with no undue delay.
- Accurately and timely input shipping and billing data into “Logistics Shipment Dashboard” in Trakwizard to ensure:
Accurate shipment and payment information for WECA’s commission billing and clients’ letter of credit drawdown or payment to vendors by open account.
Visibility in WECA’s supply chain management and logistics information in a timely manner.
- Ensure vendors upload all required documents into Vendor Shipment Dashboard for our record and billing commission that provides for efficient and easy information retrieval.
- Complete reasonable ad hoc tasks requested by superiors.
Requirements:
College graduate in Business Management, International Trade or other related disciplines.
At least 3 years relevant experience.
Good communications skills in English & Chinese on email and ability to work with people via email over a vast geographical area.
Good working knowledge of MS Office and some understanding of database management.
Be positive, solutions-oriented and able to work with various people.
Self starter, excellent organization skills and with the ability to meet tight deadlines.
