Company
Our client is a Business Advisory Group with a well-established presence in China for more than 15 years. Our client is headquartered in Shanghai and has offices in Beijing, Guangzhou, Hong Kong, London and correspondents in Dubai, Italy and in the US. Our client Group employs over 100 professionals between international and Chinese consultants, fluent in English, French, Spanish, Portuguese, Italian and Mandarin.
Responsibility
Our company member is looking for an Executive Assistant to contribute to the development of the Firm as a support to the head of services and GM. Shall be able to work independently with ability to handle most unique situations. Shall also have natural leadership and being able to communicate in Mandarin, English and French.
Key Accountabilities:
? As direct GM executive assistant, provide high quality support to upper executives and head of services to ensure annual goal and global strategy is applied in line with Board request.
? These tasks may include, but are not limited to, key records maintenance, compiling data for reports, administrative tasks associated with the budget process, scheduling executive appointments and meetings, calendar maintenance for upper executive level employees, answering/screening/routing telephone calls for upper level executives, preparing expense reports, preparing/editing executive presentations, making travel arrangements, mentoring/leading the general administrative staff of the department/division, and other established general administrative requirements of the organization.
? Coordinates the administrative work within the department/division, working with other departments/divisions and companies. Recognized as the top administrative employee in the department or division. The work performed by these employees is predominately administrative work that is largely tactical and strategic in nature.
? Handle daily correspondences, minutes, reports and other documents, including preparation of client presentation materials and proposals, maintaining an up-to-date client contact database and filing system;
? Supervise and assist in all events including those in corporate communications and client relationship management as delegated by the Managing Director, and assist the related department in the execution of such events.
Requirement
? University graduate preferred overseas educational background
? Advanced general administrative skills/knowledge required at an upper executive level.
? Usually works with multiple issues/projects and has the experience/ability to support multiple project administrative requirements.
? Specific advanced software skills as required by the division
? Experience supporting VPs and Directors is plus
? Experience in a matrixed organization desired.
? Ability to deal with ambiguity, fast pace and change
? Must maintain confidentiality. Strong ethical mindset
? Excellent written and spoken communication skills
? Assertive and confident; a good can-do attitude
? Ability to go above and beyond to ensure that the team and leader are set up for success
? Fluent spoken and written English and Mandarin – other European language (French) is a strong plus
? Has a high level of initiative and able to work independently and reliably.
