Role Description :
This job is to perform the most complex Order Management activities for the overall International Order Receipt and Handling process and requires interface with all related internal and external parties to ensure customer satisfaction in support of business objectives. This individual executes the respective work process and required system transactions within the overall Integrated Supply Chain process at business level.
Job Expectation
Review / Validate and process order request in compliance with work process / system and business guidelines.
Full responsibility for order fulfillment, along with follow up of orders throughout the entire order cycle.
Anticipates stakeholder expectations / unplanned event, and identifies best solution or alternative.
Differentiate between stakeholder requirements and company offerings, choose the best /cost effective solution.
Improve customer complaints management process through active participation in problem solving.
Work continuously on improvements, identify root causes of defects and recommend corrective actions.
Develop and maintain a strong working relationship with relevant business and functional groups through excellent communication skills.
Adherence to all Compliances and Controls on work processes
Adhere to timelines set for each activity
Act as team backups to other team members
Indicative Activity
Preparing before Order Entry
Contract verification before/during order entry
Information checking before Order entry in System
Checking Letter of Credit copy prior to order entry
Order Entry
Follow Inter-area order entry procedure to enter the order
Coordinate with Treasury to release credit block
Coordinate with Business to release price block
Coordinate with Planner, seller and other stakeholders to resolve product issue.
Order Follow Up
Coordinate with Logistics to get shipping schedule.
Send booking notification to customer
Coordinate with related parties to change or cancel order.
Document Follow up
Follow up with sourcing for Bill of Lading.
Upon receipt of Bill of lading copy or shipment confirmation, verify document contents if there’s any discrepancy and complete Goods Receipt / Goods Issue if necessary.
Follow up with document team for document copy, verify the content are correct and dispatch to related party.
Exception handling
Raise customer complaints when necessary and coordinate with other team to follow up.
Qualifications / Requirements
A Bachelor’s Degree in Business, Computing, International Trade and Supply Chain is most preferred.
4-5 years related experience in Customer Service fields
High level of expertise in Order Fulfilment and Complaints Management roles in a multi-national company
Rich experience in international trade operations will be preferred.
Advance level operating knowledge in ERP usage as well as MS Office suites and other collaborative applications, are key requirements.
Proficient in written and spoken English and Mandarin languages is a compulsory requirement, other Asian languages (Japanese/Korean) are preferred per business needs.
