Job Responsibilities
1. Perform the day-to-day operations of a variety of office services to ensure that the organization’s current and future administrative needs are met efficiently, reliably and economically. These activities may include: office supplies, equipment, security, mail, distribution, cleaning, maintenance services, canteen services, facilities management, leases, travel assistance, visitor administration, reception and communication systems (such as telephone, fax transmissions systems, etc.)
2. Research, evaluate and recommend outsourcing service vendors, such as cleaning, maintenance, leases, shuttle bus service, canteen service, security service to ensure the organization receives satisfactory standards of service in a cost-effective way
3. Plan, prioritize and manage maintenance activities and upgrades to equipment, facilities and systems to minimize disruptions to business activities and use the organization’s resources effectively
4. Evaluate and develop a service team (drivers, cleaners and security guards) to ensure that administrative activities are completed on time, according to established standards, and within established budget
5. Establish a system for visitors’ control, employee identification (such as badge access, alarm system, visitors control book, etc.) to safeguard the premises, equipment and employee’s property;
6. Prepare visa application for employees and visitors
7. Manage and control company office assets to maximize return on investment, develop and maintain a system to issue and track inventory and assets
8. Perform other duties as assigned
Job Skills Requirements
1. Good ability to organize work independently, balance multiple priorities and manage a variety of projects in a fast-paced, flexible work environment with strong attention to detail
2. Thorough understanding of general admin functions and processes
3. Good problem solving skills, sound reasoning, independent judgment and initiative to accomplish tasks with strong sense of urgency
4. Strong interpersonal and communication skills to interact with diverse partners both internally and externally
5. Good in both written and spoken English
6. Good computer skills with MS Office (Good Excel skills needed)
Educational Requirements
Bachelor’s degree in Business Administration or equivalent education
Experience Requirements
1. Minimum of two years office management experience
2. Previous experience working in a multinational environment preferred
