职位描述:
· To receive and welcome all visitors to office reception;
· To create a favourable impression of Company Shanghai through provision of a friendly, helpful and welcoming initial contact to all visitors, staff and clients;
· To ensure that telephones are answered in a professional and timely manner;
· To record all visitors to the office in line with the Invesco Global Security Policy and Condeco software. distributing access cards, temporary cards and lanyards as required
· To ensure that customer enquiries are dealt with in accordance with Company service standards;
· Ensure all Company marketing materials displayed are up to date and available;
· Ensure the reception area is kept neat and tidy;
· To use room booking software and the booking of on-site meeting rooms and any associated catering requests;
· To arrange for pickup and retrieval of archive documents from the storage;
· To update records of the archive documents from the storage escalating to Invesco Birol Cor as necessary
· Sorting incoming mail, ensuring outgoing mail is collected and arranging courier collections / deliveries where required;
· To provide additional support to Company Head of Office including copying, binding and issue of corporate publicity and documentation as and when required;
· To continually check and maintain stock of all stationery and office supplies, consumables and catering products ensuring availability at all times;
· To ensure all Xerox reprographic machines remain in good working order, providing a consistent service and troubleshooting where required
· To ensure that the meeting rooms are in good order with sufficient water supplies and consumables
· To actively undertake workplace inspections and raise any observations to the relevant vendor /person
· Manage macro systems including Prism for KPI reporting and document storage
· Ensure health and safety compliance, report issues and resolve all non-compliances using Enhesa or Yellow Jacket as required.
· To monitor cleaning vendor and general office conditions within the INVESCO office area;
· Proactively contribute to First Aid, Security and Fire Safety requirements
· Properties ;
· To resolve any problems or complaints within the bounds of own knowledge and experience but equally taking appropriate decisions about when to escalate issues upwards to Regional Macro Account Manager;
· To dispatch local and overseas courier packages and order courier forms/packing materials keeping detailed records and account codes
· To replace and display the newspapers/magazines on the magazine rack and provide support on the subscriptions and delivery service
requirement
At least 2 years’ experience of working as a receptionist / administrator in a corporate environment.
Essential:
· Excellent communication skills;
· Excellent spoken and written English and Mandarin language;
· Able to manage time effectively and manage conflicting priorities;
· Receptionists must be of pristine appearance at all times, wearing full issued uniform (where required);
· Strong commitment to delivering exemplary customer service;
· Able to problem solve and to take appropriate decisions;
· Computer literate and able to use standard word processing and spread sheet software such as excel and/or PowerPoint;
· Ability to manage multiple tasks at once and build rapport and strong working relationships to support the working environment; and
· Familiarity with office network telephony systems.
