Role Accountabilities:
- Liaison with the owner, occupiers and operational personnel to ensure lease obligations are being met;
- Single point responsibility and accountability for the overall performance of leasehold management and transactions;
- Liaise with the owner regarding all aspects of management and with tenant regarding lease administration and policies/procedures relating to occupancy issues;
- Each year prepare an activity log specifying all known transactions triggered by critical dates;
- Document property management policies/procedures;
- Create process improvement initiatives to increase management efficiency and data accuracy;
- Make recommendations on the lease commercial terms to the business and conduct negotiations via direction given by the Manager on all new lettings, lease renewals and rent reviews as well as any proposed assignments and sub lettings;
- Instruct the owners solicitors in the preparation of lease and licence documentation as well as other legal matters/proceedings;
- Read all legal documentation to ensure that the spirit of the agreement captured along with the agreed commercial terms;
- Monitor all financial transactions relative to lease and contractual obligations and ensure proper procedures for authorising payments, debt control and detailed reporting;
- Reconcile rent and outgoings payments to invoices received and Finance records;
- Receive all statutory assessments and make a submission for objection/appeal where appropriate;
- Update the insurance register with existing and new properties; take off sites where leases expired;
- Administer all leases to ensure compliance by the owner and the tenants and serve notices where required;
- Maintain a current and accurate tenancy schedule including diary of pertinent action dates;
- Attend meetings with the owner, tenant/s, contractor/s and others either individually or in combination as appropriate whether in a regular periodic reporting format or as required to facilitate information cross flow, services coordination, problem resolution or for decision making;
- Be efficient with use of company resources and to ensure costs are considered against the budget;
- Always act legally and within the parameters of accepted business practice.Undertake no course of action that may result in legal action or otherwise bring the company into disrepute;
- Provide assistance to colleagues members during busy periods;
- Undertake other duties and tasks as your manager may reasonably direct from time to time;
- Understand business / customers’ needs, align / initiate discussion on potential RES / REV strategy / pipelines / projects, manage the whole process from land / property search, market analysis, best occupancy options evaluation, business case document preparation, development and construction monitoring, business & customers’ fitout / renovation works in order to support on DSC P&L and meet Cost saving / RES income IKO.
Required Experience:
1. Excellent attention to detail and ability to remain focused on specific tasks;
2. Ability to communicate at all levels and build effective and professional relationships with clients and colleagues;
3. Fluent in English and Mandarin Chinese – both written and spoken, good if fluent in Cantonese too;
4. Intermediate to advanced level in core Microsoft packages – particularly Word, Excel, PowerPoint and Outlook;
5. Min 5 years of property related experience, past property management experience in industrial/logistics warehouse and office sector preferred;
6. Certificate of registration;
7. Tertiary Qualifications in property discipline.
