PURPOSE OF THE JOB
This incumbent provides wide range of day-to-day administrative and secretarial support, to which including preparing for meetings, providing MS Office support (Word, Excel, PowerPoint, Access, Project), calendar management, arranging travel, travel expense reporting, meeting coordination, web-site maintenance, data management, SAP data entry and reporting, handling special projects to improve team/site operations, etc.
The role will have an excellent working knowledge of MS Office Suite, SAP and an aptitude and a willingness to learn any new software needed for the job. Strong interpersonal skills, initiative, adaptability, self-motivation, efficiency, good organization and planning, diligent follow-up, attention to detail and an ability to prioritize multiple tasks are a must.
The position reports to: AP Marketing Director
JOB RESPONSIBILITIES
1. Live the Safety stand, adhere to the safety responsibilities
? Live the Safety Stand, adhere to the safety responsibilities
? Implement a personal safety action plan
2. Perform administrative duties to assist team leadership & team
? Receive all incoming calls for NLT members and answer in a professional manner.
? Responsible for meeting planning and prepare meeting agenda.
? Provide guests or customers greeting, support/coordinate visits with other executives, etc.
? Manage all aspects of personal assistant activities to NLT members, including stationery & office equipment supplies, portable phone and credit card.
? Responsible for all aspects of traveling arrangement, including visa application, airlines & hotel reservations.
? Handle T&E reimbursement.
? Prepare presentations, documents, reports and correspondence in a timely and accurately manner.
? Provide translation and interpretation services.
? Work with the senior management team and provide general routine works (such as photocopying , binding, fax distribution, etc).
? Provide assistant to organize major events, such as Company outing, Annual Dinner, etc.
? Handle ad hoc assignments as requested.
? Be adaptable for business travel frequently.
? Other related work assigned by his/her manager and the company from time to time.
? Process/coordinate transactions associated with management team.
? Be an engaged and contributing member of the Administrative Team, including attending. administrative team meetings and assisting other administrators as necessary (e.g., vacation coverage or during peak workload times).
? Special Project coordination and execution.
? Support and coordinate administration if any exports visit China.`
3. Establish standard work across department.
? Facilitate establishment of standard work practices
? Capital and expense requests
JOB REQUIREMENTS
EXPERIENCE:
? Bachelor degree required
? Held positions of progressing responsibility in administrative or similar field.
? Has a demonstrated history of providing support excellence to leadership and the programs they are responsible for.
? Organized and/or led groups in meetings and events.
KNOWLEDGE & SKILLS:
? Have well developed communication and reading skills. Strong knowledge of grammar, spelling and punctuation are essential.
? Be proficient in MS Office suite of products.
? Be a self-starter who works with minimal supervision and pays great attention to detail.
? Balance multiple assignments; working effectively across lab groups to ensure program success.
? Be well organized and flexible to changing priorities and business demands.
