Position: Personal Assistant
Report to:Managing Director - Group
Working Location: Guangzhou
Job Description:
1. Purpose / General Responsibilities:
To work closely with Managing Director to provide administrative support and help Managing Director to make the best use of his time by dealing with secretarial and administrative tasks; to manage the administrative tasks that are required to ensure the smooth operation and good working environment of the company.
2. Specific Responsibilities:
Communication
l Arranging/screening telephone calls, enquiries and requests, and handling them when appropriate
l Keeping track of correspondence
l Liaising with internal staff, ensuring managerial decision is being conducted
Administrative Assistance
l Organizing travel and preparing complex travel itinerary to ensure a safe and smooth travel for Managing Director, including booking flight, booking hotel accommodation, arranging pick-up and drop-off
l Handling Managing Director's expense reports to ensure they are correct and being reimbursed timely
Secretarial Duties
l Arranging meetings and events, booking venue and meal, preparing agenda and ensuring all logistics are in place for a smooth meeting and event
l Taking minutes and dictation and distribute to participants in a timely manner
l Previewing and checking documents which are for Managing Director's approval, such as signing documents and direct reports' expense reports
Research and Documentation
l Doing research for decision making reference
l Managing, updating and translating company strategic documents
Company Administration Support
l Managing administrative and office tasks and maintaining company's image
l Managing logistics such as company safety, fire-fighting, office hygiene, company cars, office facilities, office environment
l Administering office relocation, decoration and renovation
l Implementing and monitoring support services, including procurement of supplies and services; transport, travel and traffic, communications, engineering and information technology support; Oversees facilities, technology, and materials utilized, coordinating with appropriate services
l Checking staff travel expense and communication expense
l Managing the filing, storage and security of documents/contracts and company stamps
l Supervising the work of Receptionist
l Providing support and service to related departments in the company
l Preparing and organizing company activities
l Perform other related duties as required
3. Requirements:
l More than 3 years of experience as Personal Assistant, Executive Assistant or other related position in a multinational company working context.
l Efficiency-driven, self-motivated, smart and be able to perform multi-tasks in an organized manner
l Strong interpersonal and communication skills
l Good command of both oral and written Chinese and English, and master MS office software (e.g. PowerPoint) and Net application.
l Could travel when necessary.
