职位描述

Role as in-house FM service provider to deliver professional and prompt Facility Management services in support of Creating Right Environment for Success to bank's business, secure a safety and satisfying working environment to end user.



Responsibilities,



1. Facility management

Inspection on daily basis to find facilities malfunction and arrange ad-hoc/emergency repair required;

Work out 52-weeks preventative maintenance plan (PPM) to limit facilities downtime for critical equipments;

Supervise vendor for any scheduled/unscheduled maintenance work under office area and critical environment;

First response to emergency/incident and arrange emergency/ad-hoc repair in timely manner;

Record the helpdesk items on monthly basis.

Apply for established escalation procedure and issue out incident report within required time;

Regular forms update and report submission;

Supervise on daily cleaning service and cleaning plans;

Cost savings. Seek ways to constantly reduce costs and improve operational standards



2. PPM management and Risk control

WMS, PTW RA procedures prior to scheduled/unscheduled maintenance carrying out;

Critical environment management. Arrange for contingency Plan for maintenance work under critical environment;

Consolidate involved parties, such as IT, Security, BMO for any potential hazard and risk;

Collect and present related data/information for reporting, filing and audit purpose.



3. Payment/ billing management

Collect cost bidding and provide Recommendation & PMI for FM maintenance work;

Verify the maintenance quotation and payment invoice;

Track fapiao and payment supporting documents and provide them to finance for fiscal reports and GL booking;

Collect information for annual budget and year-end accrual.



4. Contract and Vendor management

Meeting with BMO/landlord in order to improve BMO-owned facilities to bank premise;

Meeting with vendor for PPM and maintenance action plan;

Assist in biding the contractors, contract renewal and addendum;

Assist to evaluate the contractors' service performance and monthly scoring.

Make sure the works conducted by the contractors meet SCB standards, rules & procedures.



5. Space management

Provide occupancy report on monthly basis and verify seats and cost center information for cost allocation and layout update.

Coordinate for minor space renovation within bank premise;

Coordinate for office movement.
