RESPONSIBILITIES
(Major responsibilities and target accomplishments expected of the position including the typical problems encountered in carrying out the responsibilities)
? Calendar Management
Make sure the last updated, re-schedule & follow up/coordinate with related activities/events in accordance with changing requirement.
Perform administrative tasks using independent judgment and discretion. Plan, organize, and schedule own workload so that these activities are completed accurately and on time. These activities may include preparing documents and presentation materials; screening and responding to incoming correspondence, takings and distributing minutes, etc
? Coordination on event, follow up activities
Meeting/event arrangement, coordinate with internal & external parties to make sure everything is smoothly operated.
To co-ordinate various department activities (finance forum, internal/external audit, etc) with internal and external customers;
? Convey information
Convey instruction/command/idea from CFO and Development Head to various parties accurately and track with the feedback. information within deadline.
Acting as a key liaison for their staff both on the telephone and face to face
? Daily HR & Admin support
Hotel, air ticket, logistic, itinerary, expense report, OTR, claims, leave and other daily support. All other administration support within China Finance & Development
? Meeting preparations/Take meeting minutes & prepare for meeting material
Take minutes, compile to finalization. Prepare meeting agenda, materials prior to the meeting, whenever necessary.
To write and consolidate Finance department meeting minutes every week;
To prepare and fine-tune slides for departmental presentation and excel database consolidation;
To translate some relevant Finance documentation
? Documentation Management
Check all documents against company policies and procedures before submitting for Head approval

? Other support
Work cross functional with other department to smooth daily office issues.
KNOWLEDGE SKILLS AND ABILITIES
(The knowledge, skills and attitudes required for satisfactory job performance)
Education
Diploma or above
Job related experience
2+ years relevant experience, with a background working for multinational corporations highly desired
Knowledge
The incumbent must have proficient knowledge in the following areas:
? Knowledge of secretarial administration
? Working knowledge of computers and PC software
? Knowledge of basic Accounting
Skills
The incumbent must demonstrate the following skills:
? Detail-oriented and hands-on
? Ability to multitask, organizes and with a sense of urgency to meet deadlines
? Time management
? Strong communication skills and professional telephone manner & skills
? Good written and oral skills both in English and Mandarin
? Familiar with office facilities and good command of computer MS software
? Filing and organizing meeting material and documents
Personal Attributes
The incumbent must maintain strict confidentiality in performing the duties of secretary.
The incumbent must also demonstrate the following personal attributes:
? Friendly, straight-forward, patient
? Pleasant personality, good-appearance, motivated, careful, courteously have the affinity
? Responsible, independent, service-oriented, communicative
Strong sense of judgment with integrity and ability to work under pressure.
