Department: Construction & Facility Department
Location: Shanghai Support Office
Reports to: Regional Construction Manager
The following statements are intended to describe the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties and skills required of personnel so classified.
Overall Job Function:
Support the Construction and Facility department in various tasks and processes. Analyse the current process and control the cost in transport and Non Commercial Goods handling. Minimize the leftover material cost and wastage. Drive improvement through creating new methods and tools and implement into practice. Support long term sustainable growth of H&M.
Responsibilities:
- Support the Construction and Facility department in the daily office routines
- Support Construction Manager with tendering, reports, signings, office memos, inspection follow ups, staff planning, cost follow up on projects and Change Orders
- Owner of office administration work such bookings, file management, organizing events, translation of documents (English-Chinese) etc.
- Invoice and payment follow up, filing, benchmarking and external party support
- Optimizing payment processes and invoice control
- Responsible of small centralized purchases for stores and offices
- Responsible for order and local owner of intranet system
- Responsible for coordinating left over materials, transport and claims to our suppliers
- Develop and implement methods & systems to increase efficiency and quality in Non Commercial Goods handling and reduce both cost and time in the process
- Control and manage the NCG inventory, stock levels and extra orders
- Control transportation cost and transportation method
- Support Construction Logistics on tendering and data analyzing
- Contact person for Sweden head office regarding shop interior purchases and logistics
- Support and follow up on Project Manager administrative work handling and execution
- Driver for construction project audits
- Responsible of electricity consumption follow up and reporting
- Responsible of minor store upgrade projects information collection, tracking and overview
- Strong collaboration between other internal departments such as Lease, Interior Responsible, Accounting etc.
Languages:
Mandarin and English should be fluent both in reading and writing. Knowledge in other languages is a plus.
Job Requirements, Skills and Abilities:
- Non prestigious work style with high integrity and trustworthy level
- Good communication skills
- Self-motivated and strong own initiative and able to initiate action
- Actively identify new areas for learning and improving
- Previous construction, administration or logistics experience is valued but not a must
- Strong analytical skills
- Good team work ability
- Experience from working in a high-paced, international environment
- Ability to travel if required
- Proficiency in Microsoft Excel, Word, PowerPoint, Outlook etc.
