TITLE Project Assistant
BUSINESS UNIT Corporate Solutions – Project & Development Services
REPORTING TO Functional to Project Manager
DIRECT REPORT POSITIONS N/A
JOB RELATIONSHIPS Internal
Project team, team assistant, management of PDS
External
Client, designer, contractor, consultant
POSITION GOALS To be the project coordinator for a major development project for the Project Development & Services Department
DUTIES & RESPONSIBILITIES ? Arrange and coordinate meetings with client, consultants, and contractors and prepare meeting minutes
? Maintain record and disseminate contract documents and correspondences
? Assist in preparation and compilation of contract documents
? Assist in preparation of project progress reports
? Assist in preparation of financial reports and invoices for submittal to client
? Assist in vendor procurement process
? Update payment tracker
? Owner of the OneView System (PHP platform)
? Undertake other tasks as required

MEASURES ? See individual Performance Measurement Targets
EMPLOYEE SPECIFICATIONS Education /Work Experience Requirement
? Bachelor or equivalent degree of formal education in related fields, engineering background is preferred;
? Minimum of 1 to 3 years’ experience in project and contract administration;
Technical and Administrative Skills
? Be proficient in MS Word, MS Excel, MS Power Point and MS Outlook
? Auto CAD, MS Project will be a plus

? Basic knowledge in project products, systems, processes, tools and best practices
? Proficiently uses all appropriate online systems and tools
? Understand the site operations
? Able to support project safety requirements and demonstrates a ‘safety first’ mindset
