Position Summary
This position is responsible for leading, coaching, and managing administrative team, in order to assure smooth operation to general office administration, HR, and basic accounting functions.
Roles and Responsibilities
- Instruct, supervise, and guide administrative staffs on the matters related to:
- Ensure that all registration and required filings with government agencies are timely handled
- Maintain a neat and accurate record of entries in the Monthly Book Reports prepared and submitted to the regional office
- Facilitate hotel accommodation/airport transportation arrangements including rebooking of tickets against flight amendments for all visitors and associates
- Coordinate with service providers for regular maintenance and repair of office equipments and facilities as required
- IT monitoring and maintenance including daily back up of files. Coordinate with IT team in HK and suppliers regarding system related issues
- Ensure adequate supply of office stationery and pantry supplies for staffs and visitors
- Execution of company’s revolving fund / check payments and reimbursement reports for timely submission
- Handle & coordinate with regional office/local bank for finance related matters
- Coordinate payroll and tax withholding processing, reporting and remittance. Coordinate with audit company for Financial Statement and other Tax/Audit related issues
- Maintain and update general office files on reports / memos / policies / procedures / manuals from home office and HK including safekeeping of documents
- Manage office registration, insurance and taxation, etc.
- Perform all HR functions including recruitment, compensation and benefits, performance management, training and development, and employee relations
- Monitor change or update of local labor law and keep Country Manager and HK office informed.

- Make recommendations for Country Manager’s review with regard to the development and improvement of the company’s human resource and administration procedures and system.
- Perform other duties and ad-hoc program assigned by Country Manager
Knowledge, Skills and Abilities Requirements
- Diploma or above in Business Administration/Human Resources and related discipline. With National Certificate of Human Resource Managers (intermediate) will be preferred.
- Familiar with China labor law, social insurance and tax regulations
- Strict confidentiality
- Attentive to details, able to work with care and high efficiency
- High accuracy
- Self-motivated and well-organized
- Good computer literacy, including Excel, Word & Power-Point
- Team player attitude, positive, assertive, flexible and customer-oriented
- Tactful management skills, problem solving skills and leadership skills
- Good interpersonal and communication skills to deal with different levels of associates
- Balance multiple tasks at one time, ability to prioritize
- Ability to work under pressure and tight deadlines
- Trust worthy and reliable
