Responsibilities include but not limited to:
Ø Calendar management
Ø Organize and coordinate local/regional meetings and special events
Ø Provide secretarial support for internal and external visitors logically
Ø Make the office executives' travel arrangement
Ø Handles telephone calls and transmits message
Ø Follow up per request, alert Principal for significant action to be taken or deadline to be met
Ø Presentation preparation, data collection, report consolidation & submission
Ø Expense claim preparation per request per IBM travel policy; Company Card handling and Banking service,.
Ø Controls the manager's petty cash per request
Ø Filing management per request
Ø Handle tax document, check payment
Ø Hardcopy Mail management
Ø Conference room booking for internal clients and supporting team
Ø Assist and mentor new hires
Ø Other administrative tasks whenever request
Job Requirements:
To be successful the ideal candidate needs to have strong planning and organizational skills, be able to work independently, prioritize own work and resources, maintain confidentiality of information, have a positive attitude, multi-task, be pro-active, thrive in a fast-paced and growing team environment, be good at problem solving and has strong attention to details
Ideal candidate will have 3+ years of administrative or related experience in a multinational company collaborating across multiple functions and countries
Candidate should have excellent communication skills, both written and verbal English and Chinese
