The Zwilling Beauty Group - a member of the German Zwilling JA Henckels AG Group - is a leading manufacturer and distributor of beauty tools and accessories.
The company is currently looking for an Office Support Manager for the Zwilling Beauty Group Asia Ltd., located in Shenzhen, China. The ideal candidate will be a key communicator for all aspects as outlined below aiming to deliver high quality administration assistance and team support to the Management Team. With providing general office support, Administrative and HR support, as well as Travel Management and Finance support, the ideal candidate will become a valuable member of the Zwilling Beauty Group family.
The candidate will report to the APAC Sales Director based in Shenzhen.
Responsibilities:
1.Support the Management Team with administrative tasks
2.Prepare reports, presentations, memos, letters, mailing and other documents
3.Ensure all necessary office equipment is fully functional
4.Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement
5.Proactively “run the office” functions such as security passes for visitors, administer OH&S Activities including fire control, services (electricity, gas and amenities), parking and any other required functions
6.Organize, manage and maintain office meetings and appointments as requested
7.Organize travel arrangements and bookings for all employees, and visitors as requested
8.Manage travel budget
9.Coordinate with the team in the Dongguan manufacturing office
10.Organize programs or events for employees as agreed with the Executive team
11.Take meeting minutes and co-ordinate publishing of minutes as requested
12.Maintain filing systems
13.Answering the phone and directing calls or taking messages
14.Coordinate invoice payment after checking details and get approval from the relevant manager
15.Basic accounting and finance report management: annual estimates of expenditure, maintain budgetary controls
16.Oversee the recruitment of new staff
17.Basic management of HR records and support
18.Manage leave entitlements
19.Attend team meetings and provide contribution to overall improvements
Requirements
1.A degree holder with 5 years of Office/Administration Management experience
2.Experience in sizable MNC firm
3.High level of communication and interpersonal skills – culture fit essential
4.Highly organized
5.Multi-tasking ability and comfortable working in a busy, fast-paced environment
6.Proactive approach to work and the ability to work autonomously
7.Excellent presentation skills
8.High degree of accuracy and attention to detail
9.A sound knowledge of all Microsoft Office applications, especially Excel and PowerPoint
10.Basic Accounting and Finance experience
11.Excellent written and verbal communication (fluency in spoken and written English and Mandarin is a must)
12..Proven experience organising travel
13.Minimum 5 years’ experience in office/HR Administration or coordination role
