职位描述

Job Title: Executive Assistant
Location: Shanghai

Principal Accountabilities
1. Provide administrative Assistance to China Tax, Treasury and TSF (equally divided).
2. Schedule meetings, coordinate travel, accommodation arrangements as specified by managers
3. Prepare and maintain power point presentations for the group, ensure continuously updated for changes in corporate structure, new entities and braches.
4. Maintain register of all business contacts in the country, with contact addresses and details.
5. Translate documents for internal use. Chinese to English and English to Chinese
6. Perform translation duties at external meetings and forums.
7. Coordinate and arrange department meetings, internal and external and assembles appropriate material for meetings/conferences as required
8. Screen phone calls, answer routine questions, take messages and may refer caller to an alternative source in the absence of managers
9. Contact person for out of town visitors, arrange hotels and transportation, assist in arranging meetings by ascertaining requirements and check with managers on their availability where no appointment has been made
10. Undertake routine administrative work, including copy, scan, print and handling payment & keeping track of invoices / billings
11. Update and maintain an effective filing system
12. Respond to routine requests from managers
13. Monitor and track the legal entity structure in the country and branches.
14. Provide translation service for senior executives with government offices as necessary.
15. Prepare expense reports and file related documents.
16. Prepare budget, timesheet summary and monthly report for China Tax group

Education/Experience/Skills
1. Good at Microsoft Office tools (Word, Excel, Power Point, Outlook)
2. Excellent translation skills
3. At least 2 years experience in a similar position support senior executives.
