职位描述:
To assist in the comprehensive facilities management on the ** Account. Delivery of services in accordance with the **Management Agreement Facilities SOW’s, SLA and KPI’s. Support the Facilities Team in the implementation of key initiatives and projects.
The Facilities Assistant must be a team player and work with other members of the team to meet all key performance indicators as set out in the management contract.
Facilities Operations
Greeting to visitors
?Greetings to visitors
?Recognizing visitors’ types, including candidates, vendors, family and friends
?Assisting visitors to contact their host
?Ensuring visitors fill in necessary information, including names, companies and contact numbers
?Issuing visitor stickers and reminding employees to escort their visitors all the time in client Office
?Recording visitors entrance / leave time
Phone Call Management
?Picking up the phone within 3 rings.
?Greeting to the caller as “Good morning /afternoon, This is**”
?Verifying the requests from caller, and transferring to appropriate receiver.
“Thank you for calling”.
?Checking Voice Mail if any reminders on the phone, and responding to the caller with your answer.
Badge Management Assistant
?Distributing badge to new hired employees.
?Verifying employee’s identity via Phone Tool.
?Helping temperate badges for the employees who forget to bring badge.
Business Card Management Assistant
?Collecting Business Card Application Form, Ensuring the information in the form has been completed filled in.
?Submitting application form to vendor and ordering for Business Card Template.
?Passing the Biz Card Template to employee for confirmation
?Passing the confirmation and Biz Card Template to JLL FM on-site in charge staff for ordering
Projector Management
?The projector to borrow, record.
?The loud-speaker to borrow, record.
?The computer power to borrow, record.
Risk Management
?Assist in the implementation and management of a property risk management program
?Follow established escalation procedures and incident reporting procedures
Customer Service / Client Relationships:
?Provide superior customer service
?Ensure feedback from client sessions is recorded and actioned to the satisfaction of the end user.
?Pro-actively manage Amazon expectations ensuring that the service levels are maintained .
Reporting:
?Assist in the budgeting process as required
?Provide input as required into the Monthly Report to **
?Active involvement in the monitoring and achieving the required Key Performance Indicators
Requirements:
?Interpersonal skills with a strong client focus.
?Technical comprehension and experience with performance based service contracts and vendor management both soft and technical
?University degree
?Ability to work
?Demonstrated initiative
?Good leadership and management skill
?Good communication skills in verbal English
?Independent and Self Motivated
