Our client is a French company in the Ink Industry (chemistry).
The position is established in Shanghai, Fengxian district.
Report to: GM Asia.
Responsibilities
Office Manager is responsible for the general affairs of the company as Finance & Accounting, HR, purchases.
The Office Manager is responsible for:
? Insource the financial accounting and reporting from the current service provider along with selection and implementation of an appropriate local finance, accounting and ERP system, if required.
? Ensure timely and accurate month end and year end closings
? Ensure timely and accurate monthly group reporting to group headquarters and a timely and auditable year end closing
? Ensure an accurate practice of the group accounting and finance guidelines
? Implement and ensure prompt direct costing by customers, by product lines and by countries or regions for the growing direct business of MCN
? Ensure meaningful KPIs eligible to manage and control the performance of the company as well as informative comments of the monthly closings
? Ensure a sufficient and stable cash financing of the local business in close cooperation with the headquarters
? Ensure timely and accurate local tax filing and optimization of local taxation in cooperation with tax consultants
? Ensure timely and accurate submittance of all other local legally compulsory reporting’s
? Implement and ensure efficient business processes including financial and admin aspects of the processes in purchasing, logistics, merchandising, production, product calculation, quality management and sales. Use ERP-support wherever efficient.
? Ensure compliance with internal rules, standards and with the local legislation with reference to administration and accounting, including ISO 9001 and 14001
Main tasks and responsibilities
? Implement a state-of-the-art and operative local accounting
? If required, select a local ERP and accounting software
? Group reporting including Group GAAP adjustments wherever required to reflect the group accouting guidelines on a monthly basis
? Intercompany-Reconciliations with the headquarters
? Perform local creditors, debtors, fixed assets and general ledger accounting
? Manage and supervise the external payroll service and post labor costs timely and accurately
? Cooperation with auditors and tax consultants
? Plan, coordinate and perform the local budgeting and forecasting process in close cooperation with the local GM and report budgets and forecasts in due time to headquarters
? Monitor and control budget to actual variances
? Monitor margins and fixed/overhead costs and other KPIs and suggest measures to prevent undesired trends
? Product calculations for the growing local direct business
? Assistance in creating special purpose reports for the board, the GM or other addressees
? Implementation and optimization of local business process supported by a local ERP
? Forecast and monitor the local cash flow on a weekly basis and prevent cash bottlenecks in close cooperation with the headquarters
? Implement a local customer credit policy in close cooperation with the local GM and monitor compliance with this policy on a daily basis
? Cash collection from customers for the growing local direct business
? Manage local insurances and monitor an appropriate insurance coverage
? Assistance in other finance, admin and accounting driven projects or business analysis of the local or group management
? Complete other typical admin, finance and accounting routine functions
? Back-up of the local GM in various areas
Requirements
? Accounting diploma
? Working experiences of 10 years
? Team spirit
? Abilities to manage
? English & Chinese speaker
