departments and facility department recordkeeping
Provides information by answering questions and requests.
Completes operational requirements by scheduling and assigning
administrative projects and expediting work results.
Resolves administrative problems by coordinating preparation of reports,
analysing data, and draft contract.
Draft daily and routine technician’s task.
Recording technicians over time and balance technicians work schedule;
assisting technicians PD and leaves, application process.
Enters and updates maintenance contractors
Enters and apply AISG webportal system (web purchase and web invoice)
Resource new vendors
Obtain bids for repairs/maintenance
Inventory, Parts and Deliveries
Orders warranty replacement parts
Maintains vendors certificates
Maintains and distributes maintenance and project’s claims
Accounting Support/progress payment
Process equipment/installation PO’s – change orders when applicable
Receive vendor PO acknowledgments, advise, assist with and/or resolve
discrepancies
Works with Accounting on invoicing discrepancies to assist with the resolution
Maintains budget records and assists with approval process (es) for overexpenditures
File/Records Maintenance
Creates and maintains facilities filing system for invoices and contracts
Updates vendor files
Other projects as required
要求:
Bachelor degree
The position requires a very strong service oriented and good communication
skill.
Willing to learn, open minded, able to endure the pressures and heavy and
intensive work load; flexible working hours and be able to work on weekend.
1 to 2 years of working experiences in domestic or international firms are
preferred;
Fair knowledge in filing management and document control;
Possesses intermediate computer software skills with Microsoft Word, Excel,
Outlook; and SharePoint.
Fair to good in understanding and written of English and Chinese;
Self-motivated and hardworking attitude; good communication skill, follow up
and follow through skill, know to set up priority, work in efficient and effective
way, and always keep facility manager inform.
