Accountabilities:
Provide secretarial support to the department (both head office staff and on-site staff) as a whole, including but not limited to:
? travel arrangement(land, sea and air transport),
? leave management, answering/picking up telephone calls, sending and collecting fax,
? sending and answering emails, reception of guest, arrangement of meetings and conference(including logistic support to regional conferences/visits), training,
? provides typing, Power-point preparation and Excel file making, and any other types of word processing/printing supports,
? Filing the department’s paper in a systematic and traceable manner.
Assist in client relationship management duties, including but not limited to
? arrangement of festival hampers,
? issue and collect “Client Opinion Survey”, “Owner/Occupant/Tenant Opinion Survey”, “Shoppers Opinion Survey”, prepare scorecard accordingly, issue greeting cards to clients at least two weeks before Christmas/New Year and Chinese New Year,
? issue JLL’ s publications(including research report, market commentary, brochures and promotion materials) to clients and internal staffs.
Provide financial management support to the department head, including but not limited to:
? preparation of debit notes,
? update charge out collection schedule,
? liaise with Finance Department in the issuance of debit note,
? monitor client’s payment status and advise MS Country Head, Guangzhou from time to time,
? preparation and issuance of payment reminders, handle the whole process of expenses claim according to Finance Department timeline and preparation of monthly expenses claim summary to department head.
Provide operational support to the department as a whole(both head office and site management office), including but not limited to:
? chase/remind and collect from site management office the on-time submission of document/reports,
? preparation of reports and other submissions to clients, deliver/documents to/collect documents form client in person whenever necessary.
Other works:
? Act as secretary in our department’s internal meetings as well as any other meetings that the department head may assign. Take minutes and have the first draft ready for comment within 3 days,, and assist the department head, Guangzhou in ensuring that the action items of the minutes are completed in a timely manner.
? Keep all proposals, contracts and agreements in safe, systematic and easily retrieval manner.
? Manage the in-coming and out-going of head office staff of our department and keep good records accordingly.
? Manage good record of the licence and certificates of all head office staff and on-site staff.
Requirement:
? A degree in Accounting and /or a recognised professional qualification in accounting
? 8 years experience in financial accounting and preferably work as a finance leader for 5 years in Property management company
