SUMMARY OF POSITION: The overall goal for Customer Service is to manage all activities, both internal and external, associated with existing product and/or tasks that are related to new project development. Customer Service is also the gatekeeper for all incoming sales orders and associated tasks, including receipt, entry, processing and acceptance. Customer Service is responsible to monitor and communicate delivery schedules for all projects via customer status reports. Customer Service initiates, routes, coordinates and monitor's all RGA's and customer complaints. Customer Service is a support organization to the Production Manager, Plant Clerk, Shipping on an as needed basis. Customer Service is responsible for providing accurate, proactive communications to internal as well as external customers.
ESSENTIAL FUNCTIONS:
· Enter and process sales orders as they are received.
· Provide customer with an order acknowledgement to confirm pricing and delivery.
· Provide copies of sales orders to the appropriate manufacturing, sales, project management and Account Executive representatives.
· Distribute sales order agendas and conduct sales order meetings as assigned.
· Attend production meetings to ensure on-time delivery of orders. Alert Production manager of major delivery problems or concerns.
· Coordinate delivery dates and provide weekly updates to customers via weekly status reports.
· Fax, distribute and maintain files for all quotes, including pricing matrix for each customer on an as needed basis.
· Ensure that if a quote effects a current order that the customer is notified and a revised PO is received before quote is filed and before order is shipped.
· Order any miscellaneous items required from the customer to fulfill requirements of purchase orders. Ensure timely delivery. (i.e. labels, insert sheets)
· Manage customer prints index. Ensure customer prints are in house for all incoming orders that are ordered by revision. Work with customer to obtain the appropriate documentation, blueprints or specifications required for an order.
· Update Customer database as required.
· Update Visual Manufacturing upon product launch to ensure appropriate items are input onto the sales orders.
· Track all customers Delivery and Quality scores on as needed bases.
OCCASIONAL DUTIES:
· Handle calls from customers concerning product complaints, sales order status and delivery dates.
· Miscellaneous filing as required.
· Ordering departmental supplies as required.
· Open incoming drawings as required for all projects.
· Other duties as required.
· Once employee demonstrates competency in position, he/she may be required to train others in similar roles.
