Internal project reporting and administration
Be prepared to discuss project procurement quality, client and team satisfaction, and project procurement success metrics during regularly scheduled and ad hoc project review meetings with the CEO & VPs.Track and report weekly on percent complete, budget burn, earned value, slippage, project procurement effort and number of packages to complete and other key project metrics. Keep an accurate procurement risk-tracking document with an associated mitigation plan.
Client Management
· Continually seek opportunities to increase customer satisfaction and deepen client relationships.
· Build a knowledge base of each client’s business, organization and objectives.
· Manages day-to-day client interaction.
· Sets and manages client expectations.
· Develops lasting relationships with client personnel that foster client ties.
· Communicates effectively with clients to identify needs and evaluate alternative business solutions.
Procurement accounting and finance
· Understand our procurement model and tendering and contracting procedures.
· construct procurement contract, review and coordinate to sign the contract
· Accurately forecast contract expenditure, bill rates and package utilization.
· Assure procurement documents are completed and signed.
· Track and report hours and expenses on a weekly basis.
· Manages project procurement budget.
· Assist with timely and accurate invoicing, and monitors receivables for project.
· Follows up payment schedule and regarding unpaid invoices with client.
Procurement control
Manage scope creep through client change orders, internal change orders, phased delivery or other methods to ensure projects deliver on timeline, scope, budget and strategy expectations. Evaluate all key project deliverables, as well as final product to ensure traceability of requirements, high quality and client acceptance. Assist the SPM (Senior Project Manager) with formal sign off on all procurement deliverables; this will often include coordinating input and involvement from the account director and client.Ensure procurement meets internal and client expectations with respect to quality, budget, delivery timelines, and strategy. Identify, track, manage and mitigate risk on specific client engagements. Escalate these issues when necessary to ensure minimal impact to quality, budget, and timeline. Where procurement control is in jeopardy, create contingency plans with appropriate input from key team members and implement a revised project schedule, scope or budget in a timely manner.
Project communication
Fluent in English both oral and written, capable on technical and construction drawings in EnglishWork with VPs, PDs and SPM to assist them achieve an understanding of expectations, deliverables, dependencies, risks, progress and the procurement process. Use sound judgment in all project communication.Communicate progress, risks, expectations, timelines, milestones and other key project metrics to clients and team members.
Securing Purchase Deals
· Carry out market analysis to get the best purchasing deals.
· Acquiring goods and services at favorable prices.
· Compare prices of goods from different suppliers, analyzing sales patterns and inventory levels of existing stock, and staying up-to-date on market changes that can affect the supply and prices of goods.
· Prepare and process purchase orders in accordance with his company’s policies and procedures.
Evaluating Suppliers
· Evaluate prospective suppliers before signing them up to ensure they meet the company’s needs.
· Attend trade shows and conferences to gather information and get contacts of potential suppliers.
· Be strict on delivery time as any slight delay in supply can create problems in many other areas of the business.
Managing Data
· Be responsible for maintaining and reviewing all records of purchased goods, including their costs, deliveries and inventories.
· Ensure that updated data such as information about suppliers’ products and prices is maintained.
· Have strong organizational skills to find the right data in a timely manner, as well as an eye for detail.
