Job Title:
The job profile is a guideline and may be subject to change according to the needs of the School and the Pupils within the Houses. It will be reviewed annually and confirmed by the Deputy Head (Pastoral)
Main purpose of job:
A boarding assistant is responsible to the Headmaster through the Deputy Head (Pastoral), Housemaster, Heads of Boarding and House Tutors for duties relating to the work of the school House system. This requires an approach that encompasses pastoral welfare and understanding of the pastoral and academic monitoring of Pupils assigned to them.
This role involves the supervision and management of the boarding pupils before and after school, the completion of administration tasks associated with boarding life and a commitment to ensuring that House areas are environments that meet the Aims of the School and the Principles of a traditional British Boarding School. This encompasses the welfare, progress, conduct and appearance of the boarders in their charge.
1. Personal and Social Development
This position requires a bright, well-organised individual. The successful applicants will demonstrate an adaptable and professional approach, showing an ability to work alone and have good communication skills with both young people and the Boarding Team.
We all have a part to play in encouraging Pupils to reflect on their academic and personal progress and to support them in their development as individuals. Boarding Assistants, in particular, are well placed to:
1. Get to know Pupils as individuals and reflect this knowledge in your weekly meetings
2. Help Pupils to review progress and to encourage constructive target setting where appropriate.
3. Show an interest in Pupils dreams and aspirations.
4. Be responsive to matters arising within the school or wider community that may affect their boarding pupils.
5. Support boarding staff in offering on-going assistance concerning attendance patterns, academic and social issues, as well as, where appropriate, personal and family matters.
6. Monitor the academic and personal progress of the tutees; including their participation in extra-curricular activities (games, activities, music, house points etc.). This support is essential, for Pupils new to Wycombe Abbey International School, if they are to settle comfortably and quickly into the community.
7. Check that uniform rules are being adhered to on a daily basis and the necessary books and equipment (sport) for classes are available.
8. Liaise with the Housemaster(s), Heads of Boarding, when necessary about individual pupils.
9. Keep the Housemaster informed of any academic / pastoral concerns or celebrations relating to your tutees at the weekly House meetings, or via other communication channels.

Wycombe Abbey International School encourages regular and effective communication between parents and staff. Communication between Boarding Assistants, Academic Tutors and Teachers is essential. It is important that our approach to communication is consistent. Boarding Assistants should consult with the Head of Boarding before communicating with parents. A note should also be made of any telephone contact with a parent, with the key points summarised. This should be emailed to the Head of Boarding, Housemaster and if required the Deputy Head (Pastoral).
3. Areas of Possible Difficulty
Whilst we actively encourage positive relations between staff and Pupils, young people frequently talk about things that are personal to them. We should always be prepared to listen carefully to what is said. If the matter is clearly something detrimental to a Pupils social or physical well being, or is likely to have a negative effect on progress at school, colleagues should never give a guarantee of confidentiality. If it is a matter of serious concern, explain that this information may need to be shared with others. Record in detail what has been seen and heard and contact the Head of Boarding, Housemaster and if required the Deputy Head (Pastoral) as soon as is practicable.
4. Record Keeping and Confidentiality
The Pupils and their parents have a right to expect that information held is accurate, capable of substantiation, held in confidence and is accessible only to those who can effect a change for the better in Pupils circumstances. Our aim is to give effective, individual support to our Pupils and this means that information concerning academic, social, health and family issues may be subject to varying degrees of confidentiality. The Senior Leadership Team, Senior Middle Leaders Team, Boarding Staff and Tutors are expected to exercise sound professional judgement in determining what should be communicated to whom.
5. School Administration and Communication of Information
It is essential that Wycombe Abbey maintains up–to–date records about Pupils in the course of their education and the Tutor has a significant responsibility in this regard during registration. Accurate communication of information and prompt return of administrative material is in the best interests of staff and Pupils alike. What follows is not an exhaustive list, merely a guide to aspects of the role expected of all Boarding Assistants. Colleagues are expected to be flexible and proactive in their approach. It is particularly important that we are effective in maintaining up-to-date records of all communications regarding the Tutors group. For example:
? Explanation of school policy
? Reading and checking information
? The issue of information letters for parents
? Informing Pupils of timetable and accommodation changes
? The ability to listen and to take a positive interest in the concerns of the young are essential qualities, as are stamina, physical fitness, warmth and a sense of humour
? Assist the Head(s) of Boarding and Housemaster(s) in running a happy and orderly house
? To follow all house routines in an active manner to maintain a well-run House and liaise closely with the Head of Boarding over the day-to-day running of the House and the health, welfare and care of pupils
? To help and support younger boarders as needed – making beds, packing at end of term, and reading bedtime stories when required
? To supervise prep.
? To aid the Head of Boarding in the organisation and running of activities throughout the week
? To be alert to the health and safety of all pupils, including an awareness of the procedures for accounting for all pupils in the Boarding House to which they are assigned; their summoning, and their evacuation if necessary
? To encourage the girls and boys in community living and interpersonal skills such as team participation, responsibility for others, understanding, tolerance and compassion.
? To accompany pupils on out of school activities e.g. medical escorts, trips, D of E, sports fixtures, as required
? To assist as required with major events in the School Calendar
? To assist in the preparation of rooms/facilities for the start of term, and the clearing of them at the end of term
Boarding Assistants are vital to the smooth running of Wycombe Abbey International School. If done effectively Boarding Assistants can discover difficulties before they become major issues. Therefore, this post is instrumental in making a positive difference to the lives of our young people.

? Allocations of duties operate on a 5:7 split. On rotation this may include weekend duties.
